  • LOCATION: Office‑based (4–5 days) – nearest stations are Bank, Monument and Cannon Street
  • DAYS/HOURS: Monday – Friday (9:00 – 17:30)
  • LINE MANAGER: HR Business Partner

ABOUT THE ROLE

As the Executive Assistant & Office Manager you will provide high‑level support to the CEO and Executive Chairman, managing their diaries, travel, board meeting preparation, expenses and guest management with professionalism and discretion.

The role also encompasses company‑wide event planning and full ownership of office operations, including supplier and building management relationships and company car fleet administration.

  • ROLES & RESPONSIBILITIES
  • EXECUTIVE SUPPORT
  • Diary management for the CEO and Chairman, and ad hoc support for the wider management team.
  • Making travel arrangements for the management team.
  • Collating presentations for board meetings and business presentations.
  • Coordinating logistics for board meetings and other regular meetings.
  • Preparing agendas and minuting the board and management meetings.
  • Submitting expenses for the CEO and Chairman.
  • Guest Management including greeting and assisting external visitors.
  • EVENTS MANAGEMENT
  • Planning the quarterly company-wide event.
  • Prepare and coordinate presentation for CEO.
  • Plan other company events as and when required.
  • OFFICE MANAGEMENT
  • Keeping the office tidy and welcoming for employees and visitors.
  • Arranging seating plans with the office.
  • Ordering office and kitchen supplies.
  • Liaise within internal & external IT support where necessary for office‑related IT issues.
  • Managing the central office inbox.
  • Lead contact with the external building management team.
  • Requesting maintenance and repairs.
  • Attending bi‑annual occupier meetings.
  • Manage office contracts/relationships.
  • Facilities Management such as cleaning, food delivery, maintenance contracts, etc.
  • Company car management for the full car lifecycle.
