We are looking for a polished, experienced professional to be the welcoming face and capable hands at the heart of our clinic. You will ensure a seamless patient journey while supporting our doctors and nurses in delivering outstanding care.
Key Responsibilities- Welcome patients and visitors, creating a warm and professional first impression
- Manage appointment bookings, follow-ups, and confirmations with accuracy and care
- Coordinate patient referrals to specialists and allied health providers
- Answer phone calls, respond to messages, and handle patient enquiries with empathy and efficiency
- Monitor and respond to clinic emails promptly
- Register new patients, update medical records, and verify insurance information
- Process payments, co-pays, and relevant fees discreetly and accurately
- Support daily clinic operations with a variety of administrative tasks
- At least 3–5 years of experience in a receptionist, front-of-house, or customer service role — ideally within a medical, luxury hospitality, or high-touch service environment
- Exceptional communication skills with a professional, polished manner and the ability to interact confidently with a diverse, discerning clientele
- Demonstrated discretion, integrity, and the ability to handle sensitive information with the utmost confidentiality
- Proficient in electronic medical record systems and comfortable with digital communication tools
- Highly organised, detail-oriented, and able to anticipate needs in a fast-paced environment
- A collaborative team player who takes pride in delivering an exceptional patient experience
- Diploma or higher qualification in business administration, healthcare administration, hospitality, or related field preferred
- Equivalent experience in a high-touch service environment will also be considered
