Our client, a well-established organisation providing vital support services, is seeking a Service Administrator to assist in the smooth running of their operations. Vacancy Brief:

  • Our client is seeking a Service Administrator on a Temp to Perm basis.
  • This is a full-time vacancy, 37.5 hours per week.
  • Working pattern is Monday – Friday 9am – 5pm.
  • The role will be location based in Coventry.

Key Responsibilities:

  • Answer telephone enquiries, respond to requests, and take messages.
  • Assist with “Youth Line” enquiries, providing initial information and signposting to relevant departments.
  • Support the preparation of grant and bid applications, including presentations and submissions.
  • Compile and produce statistical data and reports for internal and external use.
  • Utilise various software packages (including Microsoft Office) to create high-quality reports.
  • Prepare and distribute standard reports for committee meetings.
  • Administer meetings, including agenda preparation, minute-taking, and document management.
  • Organise events such as briefings, including venue arrangements, invitations, and catering.
  • Provide secretarial support to the Service Manager and Team Leader, including diary management.
  • Maintain appropriate stock levels for stationery and office equipment.
  • Handle customer feedback, collate data, and produce monthly reports.
  • Complete and maintain records of incident and accident reports.
  • Set up and maintain filing and archiving systems to keep documentation up to date.

  • Previous experience in an administrative role.
  • Strong organisational and communication skills. Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Ability to manage multiple tasks and prioritise effectively.
