We are seeking a highly experienced and professional Executive Assistant to support our Chief Executive Officer in a fast-paced, dynamic environment. This critical role will provide executive-level support, ensuring the smooth running of all aspects of the CEO’s schedule, communications, and business priorities.

The successful candidate will be proactive, resourceful, and deal confidently with internal stakeholders and C‑suite executives.

Key Responsibilities & Accountabilities

  • Act as first point of contact for all CEO communications and manage the CEO’s complex diary, prioritising appointments and meeting requests.
  • Coordinate all aspects of domestic and international travel, accommodation, visa requirements, and event logistics for the CEO and Executive Team.
  • Prepare, submit, and reconcile the CEO’s expenses and mileage claims in line with company policy.
  • Approve recruitment requisitions, purchase orders, and expense submissions from CEO’s direct reports; flag and reject any items not in line with policy or VAT compliance.
  • Monitor and manage holiday requests and balances for CEO’s direct reports.
  • Draft professional communications and emails on behalf of the CEO as required.
  • Collate and submit weekly investor reports and support preparation of Board materials.
  • Record and distribute minutes for Board and Executive meetings; attend meetings in-person when necessary, including overnight stays.
  • Coordinate executive offsite meetings, conferences, and away days, including accommodation, travel, and venue bookings.
  • Maintain systems for booking desks, rooms, and shared resources across the organisation.
  • Support ad hoc personal and professional tasks for the CEO with discretion and efficiency.
  • Represent the CEO professionally at internal and external meetings, occasionally accompanying them within the UK.
  • Responsible for line‑managing the Front Office Coordinator, including conducting regular 1:1s, managing their workload, approving leave, and providing cover during absences to ensure seamless front office operations.

  • Proven ability to manage multiple priorities, work under pressure, and deliver to deadlines.

  • This is an office‑based role with occasional travel within the UK, including potential overnight stays.
