Role profile
Our Disputes and Risk department have a great opportunity. We are seeking a Senior PA – Resource Coordinator (SPARC) to manage the PAs across two service lines. The role will sit primarily within the Regulatory Disputes service line providing operational and PA support to the Service Line Lead (SLL) as well as to other fee earners within the service line. This is a permanent position, based in our central Bristol office near Finzel\’s Reach offering some hybrid working.
Resource Co-ordinating Responsibilities
- Manage PA resource in the service lines, organising cover when necessary anticipating the needs of your internal and external clients ensuring adequate resources are in place (e.g. for month-end).
- Manage the workloads of others, lead in service delivery and delegate tasks effectively.
- Lead on performance reviews and delivering feedback, drive a high performance, high support feedback culture; recognise achievements in your team and celebrate successes.
- Ensure any required changes to process practice or policy are understood and implemented; help junior colleagues understand the impact of these changes on their role.
- Help others understand how the PA team contributes to the success of the service line/practice group.
- Act as an escalation point, facilitating others getting the help they need.
- Lead service line PA meetings.
- Understand your role in supporting the wellbeing of junior colleagues.
- Assist with recruiting, selecting and integrating new colleagues when vacancies arise within the team.
- Assist senior colleagues in efficiently co-ordinating and utilising resources.
PA Responsibilities
- Provide highly professional, effective and proactive PA support to a number of Partners and fee earners.
- Develop strong client relationships with our key clients; anticipate, mitigate and resolve potential client relationships issues or concerns.
- Assist with the file opening/ client due diligence process where necessary, set up new matters and draft engagement letters.
- Play an active role in understanding, managing and taking responsibility for the billing process, work closely, and attend meetings, with matter managers and our finance team, track specific billing arrangements and prepare matter manager and client reports.
- Provide proactive support in terms of mailbox/file management and all diary commitments for the team, pre-empting and diary conflicts, assist with the coordination of cross-office team meetings and agenda items, attend team meetings, draft and circulate Minutes of meetings and follow-up on action points.
- Proactively take responsibility for the organisation of all travel arrangements and itineraries in relation to client and non-client meetings, conferences and in-house and external events and complete expense reclaim forms.
Operational Responsibilities
- Assist the SLL with tracking and reporting on key team deliverables, deadlines and actions.
- Helping to implement process improvements and ensuring operational efficiency across the group.
- Assist the SLL with coordination of team meetings, agendas, and follow-ups.
- Maintaining and updating team records i.e. structure charts and assisting with the on-boarding of new joiners.

- Strong natural leadership qualities, with experience of managing, organising and prioritising tasks, strong delegation skills, utilising resources to manage workflows.
- Proactive, pragmatic and able to work autonomously under pressure with competing priorities while maintain excellent attention to detail.
- The ability to challenge, question and provide creative solutions to improve processes and share best practice to ensure greater efficiency across Practice Groups and locations.
- To be able to work with confidentiality, discretion and diplomacy.
- Excellent written and verbal communication skills.
- Demonstrate excellent IT skills (Microsoft Word, Excel, PowerPoint).
