Role profile
Our Real Estate team is seeking a Junior PA to provideexcellent and professional PA support on a permanent basis. The role issuitable for someone who is looking to grow and develop their administrationand PA skills.
Working hours are Monday to Friday 9:00am to 5:00pm, hybridworking based out of our Bristol office.
The role
The purpose of the role is to provide highly professional,effective and proactive support to Fee Earners of varying levels and assist theReal Estate PA team.
Key Responsibilities:
- Anticipate and avoid potential diary clashes, provide MS Teams details for all organised meetings in advance
- Deal with enquiries from clients, colleagues and third parties and provide effective transfer of information
- Play an active role in managing and taking responsibility for the billing process working closely with our accounts team
- Proactively take responsibility for all travel arrangements, conference bookings and meeting room bookings in advance
- Monitor and assist with the management of Fee Earner mailboxes
- Develop and maintain exemplary positive internal and external client and PA relationships
- Manage HighQ sites
- Collation and processing of Fee Earner expenses including proactive management
- Assist with the day to day management of client relationship information
- Work closely with colleagues to ensure all admin is dealt with in a timely manner including:-
- Filing, post admin, drafting correspondence and communications
- Assisting with CDD requirements, closing / arranging off-site storage of files
- Checking, registering and scheduling title deeds
- Proactively identify opportunities, actively contribute and be involved with ad-hoc projects as given by the team (and across OC)
- Work with the Senior PAs to continuously develop effective ways of working within the team
- Provide ad hoc support for the PA team (covering for other PA absences)
We are looking for someone with:
- Prior legal administrative or PA experience
- Essential to have good organisational skills, be flexible and able to prioritise work
- Can work under pressure and to tight deadlines whilst maintaining a positive attitude
- Solutions focused and able to use your initiative
- Excellent written and verbal communication skills
- Essential to work with confidentiality, discretion and diplomacy
- Ability to pay close attention to detail
- Excellent IT skills (Microsoft word, Excel, Outlook)
