Our Private Wealth team is seeking a Junior PA to provide proactive, high-level administrative and organisational support to fee earners including one Partner, helping them to deliver an outstanding client service through effective diary and email management, document production, billing support and coordination of client matters and meetings. This is an exciting opportunity for someone seeking a new challenge in an exciting and busy environment. This is a permanent position, based in our central Bristol office with some hybrid working available.
The team supports high-net-worth individuals, families, entrepreneurs and family offices with all aspects of their personal and business wealth. The team advises on tax, estate and succession planning, trusts, family governance and the structuring and protection of assets, with a particular focus on international families and business owners. The team works closely with specialists across the firm and offers high-quality, tailored support to clients with complex financial and personal affairs, in a friendly, professional and collaborative environment.
Key Responsibilities:
- Proactive inbox and diary management, including emails, calendars and e-filing
- Handling post, including collection, scanning, saving/filing and distribution
- Managing original documents, including archiving, storage, retrieval and arranging the posting of originals
- Maintaining and updating team records, databases and spreadsheets
- Organising and coordinating travel and related logistics
- Preparing and submitting expenses
- Processing financial requests, including cheques and payments in/out
- Supporting the billing process, including time recording and bill preparation
- Drafting routine correspondence and emails
- Formatting, amending and preparing documents and engagement letters
- Managing client and matter inception (CMI), including file opening and engagement documentation
- Managing memberships, training and conferences, including bookings and processing payments
- Providing practical, on-the-ground administrative support within the Bristol office, particularly in relation to post, archiving and document management
Additional responsibilities:
- Role model flexibility and openness to change; be decisive, responsible and take ownership of tasks
- Work closely with the Advisory management team to improve team efficiencies, communications, management of work-in-progress and any roll-out of IT applications and improved working practices
We are looking for:
Someone with previous administrative experience within a professional services background who wants to develop their career and expand their skillset. The position requires someone who is able to use their own initiative, have good organisation skills and be an integral team player. You will also be able to demonstrate:
