We have a great opportunity to join our Real Estate department as an Administrative Assistant. This is a full time position, 35 hours per week, 9am to 5pm, Monday to Friday. Owing to the nature of the work this role is based in our London office.

The Team

The Real Estate support team is made up of PAs and the position reports into the Real Estate Senior PA.

What you'll do

The main purpose of this role is to provide high level administrative support to the PA and legal teams and other areas of the business when requested including but not limited to:

  • Managing deeds including checking deeds, typing schedules, assisting with deed audits, requesting, returning and posting deeds out.
  • Liaising with key clients to keep deed records up to date.
  • Scanning, photocopying, printing and binding.
  • Preparation of letters and special delivery and courier forms.
  • Saving and distributing scanned post.
  • Assisting with all aspects of billing.
  • Running WIP Manager reports.
  • Updating and maintaining data rooms both internal and client based.
  • Using the Land Registry website and the Avail Platform to order searches and copy documents.
  • Using Search Acumen to request property searches.
  • Dealing with telephone enquiries.
  • Assist PA team with monthly billing.
  • LFS (Large File Sends).
  • File closures.

Key Skills

We are looking for someone with office based administrative experience who has:

  • Excellent attention to detail.
  • Ability to work well under pressure.
  • Good IT skills including Microsoft Word, Excel and Outlook.
  • Excellent written and verbal communication skills.
  • Excellent organisational skills.
