The Affidea Group is one of the most successful European healthcare diagnostics imaging companies, with over 400 staff within our Irish clinics. The business operates diagnostic imaging and minor injuries centres around the country, offering a broad range of cutting-edge imaging technology and healthcare services to the public, insurers, employers, and other organisations. We are now seeking experienced Patient Administrators/Healthcare Assistants to join our team in Affidea Belfast.

Responsibilities:

  • Patient Administrator: Greet and assist patients in person, by phone, or via email in a professional and courteous manner. Schedule, confirm, and manage patient appointments, ensuring optimal use of clinical resources. Register new patients and update existing records accurately in the patient management system. Provide patients with necessary information regarding appointments, procedures, and clinic policies. Maintain and organize patient files, ensuring confidentiality and compliance with data protection regulations. Process referrals, medical reports, and correspondence in a timely and accurate manner. Liaise with clinical staff to coordinate patient flow and support service delivery. Handle patient queries and complaints, escalating issues when necessary. Use software to manage patient data and appointment schedules. Ensure all documentation is completed accurately and filed appropriately. Generate reports and assist with audits as required by management. Adhere to all relevant policies, procedures, and regulatory standards. Maintain a clean and organized reception and administrative area. Participate in quality improvement initiatives and contribute to service development.
  • Healthcare Assistant: Greet patients, verify identity at every encounter, explain what to expect, and provide empathetic support throughout the visit. Assist with safe patient transfers and positioning using approved manual-handling techniques; remain with and monitor patients who require supervision; promptly escalate concerns to the supervising Radiographer. Support basic comfort needs and keep patients informed about delays and next steps. Support completion of pre-screening questionnaires and ensure room/equipment tidiness and start/end-of-day cleaning.
  • MRI Support: Complete MRI safety training before working in MRI areas; apply screening procedures (e.g., implants, devices, ferromagnetic risks) and never enter Zone IV without Radiographer approval. Assist with patient changing, transfers, comfort and communication; restock consumables and support questionnaire pre-checks as directed. Assist the Radiographers in placing and removing coils, and patient positioning.
  • Quality, Safety & Infection Prevention: Uphold Infection Prevention & Control as per local standards. Follow local radiation protection rules when present in the MRI department. Participate in audits, stock checks, equipment cleaning logs and room turnaround standards; report incidents/near misses promptly.
  • Stock, Housekeeping & Logistics: Keep clinical and non-clinical areas tidy and ready; restock consumables; manage waste streams correctly (incl. sharps/clinical waste). Assist with moving equipment and coordinating patient transport as requested.
  • Professional Conduct & Development: Maintain confidentiality and data protection; use PPE and follow manual/patient handling training. Support new staff orientation when asked; complete mandatory training and keep competencies up to date (e.g., BLS, manual handling, fire etc.).

Qualifications & Experience:

  • Leaving Certificate or equivalent
  • 1 year administration experience is essential
  • Excellent MS Office Skills
  • Strong Customer-facing skills
  • Desirable: Previous experience in a Healthcare environment especially in an Ultrasound/CT/MRI setting. Certificates in Manual Handling, Basic Life Support, Fire Safety; Safeguarding.

Competencies: Patient focus, empathy and professionalism under pressure. Teamwork and clear communication with clinical and admin colleagues. Organisation, reliability and attention to hygiene/safety detail.
