We are looking for a Service Administrator to join our team. The role involves working with the Service and Service Sales Managers to ensure the local maintenance team delivers excellent service to all customers. Responsibilities include maintaining accurate data in the Service Management Systems, administering operational worksheets, and providing reports as required. The role also involves supporting in providing estimates, issuing, and following up on quotations for repair work.

Contract Support

Providing customer support and feedback to queries raised. Issuing reports as required and submitting quotations for H&S and minor upgrade items. Technical support from within the department is provided.

Maintaining accurate customer and contract details on the Service Management System in accordance with Quality Procedures.

Operational Support

Handling miscellaneous customer inquiries, telephone calls, and various correspondence. Managing general office administration as required.

Estimating and Purchasing Support

Preparing standard pre-priced quotations upon request from the Service Sales Manager and following up on live quotes. On receipt of customer orders, issuing predefined purchase orders and coordinating with suppliers for delivery.

Reports

Preparing and updating various reports for internal and external customers as needed.

Key Responsibilities:

  • Issuing quotations to support insurance reports and defective units.
  • Creating accurate quotations in line with company BMS.
  • Ensuring sufficient quote volume to meet order and profitability targets.
  • Maintaining regular contact with customers to ensure understanding of quotations.
  • Achieving repair targets set by the Regional Director.
  • Managing customer expectations regarding services.
  • Supporting regional service administration functions, including handling calls.

The ideal candidate will have experience working in a fast-paced environment, managing operational deadlines, and possess skills in estimating, sales, building customer relationships, and excellent communication, IT, and interpersonal skills.
