Our client, a leading Civil Engineering Contractor, is currently recruiting for an experienced Document Controller to join their team on a permanent basis, based in Dingwall. As a Document Controller, you will play a vital role in managing and maintaining project documentation, ensuring efficient communication and coordination across teams, and supporting the successful delivery of projects.

Key Responsibilities:

  • Set up and maintain the document control system to manage project files and ensure version control.
  • Distribute and track project documentation, ensuring accuracy and timeliness.
  • Coordinate with project managers, engineers, subcontractors, and clients to manage document workflows.
  • Ensure all documentation complies with company standards and regulatory requirements.
  • Handle sensitive and confidential information with discretion.
  • Assist in the preparation and submission of reports, schedules, and project close-out documentation.
  • Assist with the control of all documentation for tender and construction status contracts.
  • Good understanding of Microsoft Software, use of IT portals for sharing information and generally a good grasp of IT skills.
  • Working together in Contract teams and communicating well between all parties.
  • Ability to communicate between Client and Sub-contractor opposite parties.
  • Good understanding of deadlines and the importance of submitting information in good time.
  • Ability to work in a time constrained environment we work to deadlines.
  • Diligent worker in relation to checking documents and highlighting inconsistencies between versions.
  • Ability to thoroughly check information between versions.
  • Due to workload there will be times where involvement in general administration roles may be requested and this may include preparation of documents; photocopying and scanning; collating documents for orders/ contracts; storing of information.
  • For tenders the ability to download information from a number of IT and Client portals and store this information efficiently.
  • Create Document/ Drawing Registers and keep them updated as the tender progresses to a successful completion and handover to the site team.
  • This will involve the collation of information and printing, where required.
  • For construction ability to follow Company/Client Procedure for the control of drawings and documentation.
  • This will again involve working on a number of IT portals and live platforms for the downloading and issue of information.
  • Keeping a Live drawing folder and updating as required.
  • Issuing documents and drawings based on Company or Client procedure.
  • Receiving information from Clients and downloading and disseminating to relevant parties.
  • Creating and maintaining live registers for documents/ drawings.
  • Creating contract communication matrices.

Skills and Experience:

  • Previous experience in document control/project administration.
  • Familiarity with the construction or civil engineering industry is highly beneficial.
  • Strong communication, organisational and multitasking skills.
  • Attention to detail and a methodical approach to managing documentation.
  • Able to handle changing priorities and project requirements.
  • Proficiency in document control software (e.g. SharePoint) is advantageous.
