Spanish speaking Private PA/House Manager

An UHNWI family is seeking an experienced, highly organised Private Personal Assistant & House Manager to oversee the smooth and efficient operation of their private household while providing comprehensive personal and administrative support. This is a full-time, permanent position, requiring a discreet, proactive, and adaptable individual who can seamlessly manage a wide range of responsibilities including diary and travel coordination, financial administration, staff management, property oversight, and lifestyle support. Working from their home office in Virginia Water, 5 days a week.

Key Duties for the Private PA

  • Complex diary and appointment scheduling for principal and family members 
  • \\n\\t

  • Booking of private medical and specialist appointments; handling private health insurance claims 
  • \\n\\t

  • Liaising with payroll accountant regarding salary details and payslip preparation 
  • \\n\\t

  • Preparing and organising financial documentation for annual tax returns 
  • \\n\\t

  • Booking and organising travel and holiday arrangements (flights, transfers, accommodation, itineraries) 
  • \\n\\t

  • Organising social and entertainment bookings (e.g. concerts, theatre, dining) 
  • \\n\\t

  • Supporting extended family members with ad-hoc requests 
  • \\n\\t

  • Extensive Document Filing and Management
  • \\n\\t

  • Daily oversight of all household operations and staff 
  • \\n\\t

  • Supervision and coordination of live-in housekeeping couple 
  • \\n\\t

  • Managing all insurances (property, car, pet), including renewals and claims 
  • \\n\\t

  • Liaising with contractors and tradespeople for maintenance and home improvement projects 
  • \\n\\t

  • Budget tracking and financial record-keeping for household operations
  • \\n\\t

  • Running errands including pharmacy runs, light shopping, parcel returns 
  • \\n\\t

  • Coordinating pet care including routine vet visits and general welfare 
  • \\n\\t

  • Planning and supporting seasonal tasks (e.g. Christmas menu arrangements, gift shopping and wrapping)

  •  Fluency in Spanish is highly desirable

  •  Strong communication and interpersonal skills

  •  Ability to manage staff and liaise effectively with contractors and service providers

  •  Computer and Tech savvy and confident with online ordering, scheduling platforms, and digital communication tools

  •  Proven experience in a similar PA/House Manager role within a UHNWI/private household Familiarity with private healthcare systems and insurance claims

  •  Background in domestic staff supervision and property management

  •  Confident in travel planning and social/event bookings
