A brilliant opportunity has arisen for a degree educated Executive Assistant who will provide high-level administrative support to the Founder of an AI tech start-up. The ideal Executive Assistant will be proactive, detail-oriented, and able to handle a wide range of tasks with precision and professionalism. The EA will act as a trusted partner to the Founder, handling sensitive and confidential information while ensuring efficient operations. 5 Days based in the office in the centre of Oxford. Frequent travel to the US (c.50% of the year).

Key Duties for the EA

  • Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements to liaise with clients and investors.
  • Screen and prioritize incoming communications (emails, calls, letters, etc.), responding on behalf of the CEO where appropriate.
  • Booking and arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel related meetings.
  • Prepare reports, presentations, and correspondence for internal and external use.
  • Keep abreast of all key client facing projects, ensuring that core meetings are scheduled and client stakeholders/ key client relationships are tracked.
  • Collaborate with various departments to support cross-functional projects and initiatives.
  • Plan and execute company events, conferences, and business functions.

Requirements for the Executive Assistant

  • Passionate and interested in technology.
  • Ideally educated to degree level.
  • 5+ years of experience in high-level administrative support, ideally as a PA to senior executives or C-level management within a fast-paced environment.
  • Being approachable and fostering positive relationships with clients, colleagues, and stakeholders.
  • Ability to negotiate on the executive’s behalf when coordinating deals, travel, or managing issues with stakeholders.
  • Proactive and Self-Motivated: You should be able to anticipate the needs of the executive and act without constant direction.
  • Demonstrating a high degree of professionalism in both demeanour and appearance, representing the executive at all times.
  • A high degree of trust and loyalty is essential for building a strong working relationship with the executive.
  • Ability to maintain composure during high-stress situations or under tight deadlines.
  • Able to find solutions to complex problems quickly and efficiently, often in situations requiring discretion.
  • Ability to thrive in a fast-paced environment and adapt to the ever-changing demands of an executive’s schedule.
