Position Summary
This recruitment will be used to fill one part-time (a maximum of 24 hours per week during academic terms and a maximum of 40 hours per week during academic breaks) student clerical assistant for the COMES – Newport at Oregon State University ( OSU ).
This position supports COMES with procedural research, transcribing, and maintenance; media storage maintenance; website changes/maintenance; as well as general office tasks and projects as needed. This opportunity reports directly to the COMES Administrative Assistant and gives the student a chance to gain the experience, knowledge, and skills to develop and produce specific media and procedural projects in a higher education program.
Position Duties
70% Researching and creating procedural content for office procedures, consisting of:
- human resources, financial processing, outlook, travel, reservations, calendaring, OSU resources, etc.
10% Support COMES Office communications including update of faculty and staff mailing lists.
10% Organization of COMES digital media resources in Box.
- Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
- Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
- Must meet the applicable minimal enrollment standard
- High School student: Regularly enrolled in a high school or participating in a home-schooling program
- Undergraduate and post-baccalaureate student: 6 credit hours per term
- Undergraduate international student: 12 credit hours per term*
- Graduate student officially admitted to Graduate School: 5 credit hours per term
- Graduate international student officially admitted to Graduate School: 9 credit hours per term*
*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services ( USCIS ). A reduced course load is approved by the Office of International Services ( OIS ), and must be provided to the Student Employment Center.
Additional Required Qualifications
- Advanced computer knowledge.
- Skilled keyboarding and Microsoft Office proficiency.
- Excellent communication and organizational skills.
- Must be an undergraduate student at Oregon State University.
- Strong interpersonal skills; ability to work as a team member and effectively interact with co-workers using a collaborative style.
- Ability to work independently, prioritize projects, and pro-actively seek solutions to challenges and guidance from supervisors
- Must possess an exceptional eye for detail.
- Proficiency in computer programs and willingness to learn new software as needed.
- Excellent verbal and written communication skills.
Preferred (Special) Qualifications
- Experience working with and editing images and videos.
- An interest in marine or coastal studies, marine biology, ocean conservation, aquatic biology or ecology, environmental sciences, or a related field.
- Knowledge of the COMES mission and familiar with COMES’ web presence.
- Experience with Adobe Creative Suite, Drupal web software, or other relevant software products essential for digital media archiving.
- Experience in website maintenance.
- Experience working in a professional office environment.
- Familiarity with OSU branding requirements.
- Preference will be given to students in an undergraduate academic program at OSU who have a year or more remaining in their degree pathway.
