Location: Hybrid working with two days per week based at one of our sites across Oxfordshire/Gloucestershire
Salary: £23,786 per annum
Hours: 30 hours per week, Monday - Thursday 8:30am - 5:00pm
An exciting opportunity has arisen for an organised and proactive secretary to support the Divisional Director for our Central Division of Care Homes at The Orders of St John Care Trust. This role supports the Divisional Director with a full range of administrative duties and contributes to the efficient and effective running of the Divisional Office. You will be required to work closely with the Divisional Director and Operations team within the Division.
Key Responsibilities
- Managing complaints administration, ensuring enquiries are logged, monitored and responded to within agreed timescales.
- Drafting professional correspondence, reports, and other documentation on behalf of the Divisional Director.
- Promoting house styles to ensure they are followed in all Trust documents.
- Producing and distributing monthly Key Performance Indicator (KPI) reports.
- Ensuring Operations visit information is accurately maintained.
- Maintaining comprehensive and up-to-date records for each home, including internal audit reports, latest CQC inspection reports, Quality Review Plans (QRPs) and relevant correspondence.
- Completing and submitting payroll documentation on behalf of the Divisional Director.
- Organising and coordinating divisional events, including Employee Awards ceremonies and Home Manager Christmas celebrations.
- Building and maintaining effective working relationships with our external partners, and colleagues across the organisation.
- Maintaining strict confidentiality at all times.
