Overview

In this role, you will administer client entities to a high professional standard and exercise signatory powers as needed. You will collaborate with your team and other departments to ensure timely, quality responses to client requests. You will supervise junior administrators and support the Client Portfolio Manager, handling new and existing client inquiries. You will maintain AML and due diligence compliance and manage company secretarial tasks, trusts, and related documentation. This is a hands-on, cross-functional position in a respected offshore fiduciary provider with opportunities to shape client administration and governance.

Responsibilities

  • Administer client entities to a high professional standard and exercise signatory powers on designated client entities
  • Supervise the workload of the Company Administrator team and support the Client Portfolio Manager
  • Respond to client inquiries and prepare quotes as needed
  • Respond to new client inquiries when appropriate
  • Maintain due diligence and AML compliance across the organization
  • Submit applications to Companies Registry and arrange company incorporation and trust establishment
  • Liaise with Business Development for ongoing administration of client entities sold to new clients
  • Prepare and sign off on transfer documents and ensure matters are diarised
  • Prepare powers of attorney, certificates, resolutions, and other client-requested documents
  • Attend to annual returns, company secretarial filings, and AGM minutes as required
  • Monitor and remind clients about annual returns and tax deadlines
  • Handle alterations to company structure (officers, shares, names, capital)
  • Prepare and file related documentation with clients, agents, and registries
  • Correspond with trust protectors, manage distributions, and liaise with brokers for investments
  • Review trust instruments to prevent breaches and assist with supplementary deeds and tax advice
  • Reconcile trust bank accounts and manage termination of trusts
  • Ensure bookkeeping and annual accounts for companies and trusts; maintain ViewPoint records
  • Open and manage bank accounts and act as B signatory where applicable
  • Review contracts and provide summaries for signing directors or trustees
  • Open, manage, and archive client files and perform annual archiving
  • Arrange offshore jurisdiction searches; prepare invoices and ensure accurate time and disbursement entries on ViewPoint
  • Maintain familiarity with organizational systems and corporate products and fees

Key requirements

  • 4-5 years' administration experience in the local TCSP/CSP sector
  • Qualifed or working toward a professional qualification
  • Experience managing a team and cross-disciplinary collaboration (compliance, company secretarial, accounting)
