Orbit are delighted to be recruiting for a Governance Officer to join our Regulatory & Governance team. In this role you will ensure effective corporate oversight of Orbit’s governance framework. Maintaining corporate documents and policies, ensuring regulatory compliance, handling internal/external queries acting as a key liaison for colleagues and the Executive and Leadership team, confidentiality. Delivering our 2030 strategy requires robust and transparent governance. This role is key in providing a strong, effective and transparent governance service across Orbit. The postholder will support and maintain effective governance structures and processes providing clear procedures leading to transparent and streamlined decision-making. They will provide guidance and secretariat support to the Board, Committees and internal governance structures to ensure they undertake their duties with probity and propriety and in accordance with legal and regulatory requirements.

This role is part of Regulatory & Governance where you'll help us give colleagues the support and expertise they need to be brilliant. This is a hybrid working role with roughly two days per week being based out of our Coventry office (subject to business need).

What you’ll achieve

  • Support Orbit's governance and assurance functions to ensure robust and transparent governance across Orbit.
  • Coordinate the maintenance of governance and Board information published on the intranet and website, ensuring that the content is up to date and relevant.
  • Provide high quality governance administration support to the Team, including managing the governance inbox queries on a rota basis.
  • Ensure all legal documents presented for signing on behalf of Orbit Group Limited and its legal entity subsidiaries are compliant with the Group Standing Orders, accurately recorded, executed, and distributed in accordance with the Document signing process.
  • Support the maintenance and improvement of governance systems, processes and records, taking a digital-first and continuous-improvement approach.
  • Maintain the governance and Board and Committee policy register.
  • Undertake reviews of governance documents, policies and processes and actively identify and propose potential actions for improvement.
  • Assist in filing statutory returns with Companies House and the Financial Conduct Authority (FCA).
  • Assist in the preparation and publishing of meeting packs via a board portal (Convene).
  • Attend meetings and produce (as required) accurate, high-quality minutes and action logs.

Essential skills

  • A confident, highly organised individual with excellent planning, prioritisation and time-management skills.
  • Experience in an administrative support role in a large organisation.
  • Proficiency in both written (emails, reports) and verbal (phone etiquette, greeting visitors) communication.
  • The ability to manage complex calendars, prioritise a heavy workload and meet shifting deadlines.
  • Experience of handling confidential and sensitive information with discretion.
  • Strong attention to detail and precision in data entry, proofreading documents, and maintaining accurate filing systems.
  • Ability to develop and maintain strong colleague relationships and deliver high standards of customer service.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams, SharePoint).
  • Enthusiasm, flexibility, willingness to learn together with a “can-do” attitude.

Desirable skills

  • Proven experience in a governance, company secretariat or senior administrative support role in a regulated organisation.
  • Experience supporting meetings, events and formal decision-making processes with excellent written and verbal communication skills.
  • Ability to proactively support Boards and Committees with professionalism and experience of preparing agendas, minutes, and governance papers.
  • Understanding of governance principles and the role of Boards in a not-for-profit or regulated sector.
  • Understanding of (or ability to quickly learn) the governance and regulatory environment of social housing, governance principles, and relevant legislation.
