Are you an organized, proactive individual with excellent communication skills? We are seeking a dedicated Administrative Support Officer to join the team and play a vital role in ensuring smooth and efficient administrative operations within the department. This is an exciting opportunity to contribute to public service and work in a dynamic environment. Key Responsibilities Respond to enquiries from members of the public, councillors, schools, and other Council services via telephone, email, maintaining professionalism and tact. Arrange meetings, including booking rooms or virtual platforms, coordinating delegates, and organizing refreshments and resources. Notify delegates of meeting arrangements, circulate documents within statutory and contracted timescales, and prepare materials using appropriate software. Access relevant platforms to review contract data and provide advice to team managers and colleagues. Produce presentations and information to support governance activities, including FOI requests and interdepartmental inquiries. Analyse data using computer systems and present information in suitable formats for diverse audiences. Ensure accurate record-keeping, manage invoices, and process payments using IT systems. Accurately transfer data stored within Citrix-based system to SharePoint. Maintain confidentiality and ensure records are stored appropriately and securely. Contribute to project work within the department or across the Council. Uphold health and safety policies, ensuring a safe working environment. Maximize personal productivity, minimize errors, and manage information securely using Office 365 and internal IT systems. About You Excellent communication and interpersonal skills. Strong IT skills, particularly with Office 365 and internal systems. Ability to manage multiple tasks efficiently and effectively. Knowledge of confidentiality and data protection procedures.
