Our team in Reading, England delivers a diverse range of live, virtual and hybrid events, including executive meetings, UK and European conferences, international roadshows, incentive programmes, product launches and experiential activations.

Opus Agency is seeking a Senior Production Coordinator to play a pivotal role within the delivery team, supporting the successful planning and execution of events from initial brief through to onsite delivery and post-event reconciliation. They will work closely with clients, suppliers, venues and internal stakeholders to ensure projects are delivered to the highest standard, on time and within budget.

As a key member of the production team, they will take ownership of event logistics and production coordination across a variety of projects while providing guidance and support to junior team members where required. This role is ideal for an experienced event professional who thrives in a fast-paced agency environment, enjoys managing multiple projects simultaneously, and is passionate about delivering exceptional event experiences. The Reading office will be the primary working location for 2–3 days per week, with flexible and home working arrangements making up the remainder of the working week.

ESSENTIAL RESPONSIBILITIES
  • Planning and coordination of multiple events simultaneously, from concept through to onsite delivery.
  • Source, negotiate and manage venues, hotels and event spaces globally.
  • Coordinate complex delegate, client and crew travel arrangements, ensuring seamless logistics and communication.
  • Manage supplier sourcing, procurement and relationships across production, technical, creative, entertainment, hospitality and event services.
  • Research, source and manage talent, speakers and entertainment requirements.
  • Develop and maintain detailed project schedules, production timelines and critical paths.
  • Support production planning, including venue operations, technical requirements, branding, signage, staging and event build logistics.
  • Manage event merchandise procurement, fulfilment and distribution.
  • Prepare and maintain project budgets, purchase orders, cost trackers and financial reconciliations.
  • Monitor project expenditure and proactively identify cost efficiencies and budget risks to the account teams.
  • Act as a key day-to-day contact for clients, ensuring clear communication and exceptional customer service throughout the project lifecycle alongside the account teams.
  • Support onsite event delivery, managing logistics, suppliers, schedules and issue resolution as required.
  • Contribute to continuous improvement of internal processes, systems and project management standards.
YOU SHOULD HAVE

The ideal candidate will have a strong understanding of the events, hospitality and MICE (Meetings, Incentives, Conferences & Exhibitions) industry, with experience coordinating and delivering corporate events within an agency, venue or client-side environment. You will be commercially aware, highly organised and confident managing multiple priorities while maintaining exceptional attention to detail. You will enjoy building relationships with clients and suppliers and be comfortable taking ownership of projects and making informed decisions in a fast-paced environment.

Skills & Experience
  • Previous experience in an events agency, production agency or corporate events environment.
  • Proven experience coordinating and delivering conferences, meetings, incentives, roadshows or live events.
  • Strong supplier, venue and stakeholder management skills.
  • Experience managing project budgets and financial administration.
  • Excellent organisational and project management abilities.
  • Strong written and verbal communication skills.
  • Ability to manage multiple projects simultaneously while working to tight deadlines.
  • Proactive problem-solving skills and a solutions-focused approach.
  • High level of attention to detail and commitment to quality.
  • Proficiency in Microsoft Office and event management systems.
  • Willingness to travel within the UK and internationally as required.
