The Role: We're looking for an organised and self-sufficient Office Manager to run the day-to-day operations of our Nottingham site. This is a varied, hands-on position sitting at the heart of the business. You'll support internal teams, centralised finance and HR functions, and external stakeholders across a wide range of responsibilities. This role is well-suited to someone who enjoys having genuine ownership of their work and is comfortable operating across multiple systems and functions without close supervision.
What You'll Be Doing:
- Office operations: keeping the Nottingham site running smoothly, managing supplies, supplier accounts, subscriptions, contracts (utilities, telephony, rent), insurance renewals, and acting as the on-site point of contact for building and landlord matters.
- Finance support: supporting month-end processes, managing invoice generation and WIP imports via Harvest, overseeing NetSuite PO entries, supporting AR escalation, and preparing a monthly jobs-versus-budget analysis for leadership. Consistent availability during month-end is a firm requirement.
- Inventory control: coordinating quarterly inventory checks across the Group, maintaining documentation, and managing system entries for audit purposes.
- Payroll and HR: compiling payroll submissions, managing benefits broker notifications, and supporting new starter onboarding processes.
- Health and safety: working with our SHEQ Manager on office maintenance, ISO requirements, and fire safety administration.
What We're Looking For: Proven experience in office management or a senior administrative role is essential, as is a background in finance administration — particularly billing and invoicing. You'll need to be confident working across software systems, highly organised, and a clear communicator. The role requires daily on-site presence in Nottingham, Monday to Thursday. Experience managing a small team, familiarity with Harvest, NetSuite or HubSpot, and exposure to a technology or professional services environment are all a bonus.
