We’re supporting a growing, highly respected organisation in the safety-critical sector to find an experienced Executive Assistant & Office Manager to support their UK Managing Director and wider team. This is a brilliant opportunity for someone who enjoys variety, responsibility and being right at the heart of a business.
The Role
This is a dual role combining high-level EA support with full responsibility for the smooth running of a busy Head Office. You’ll act as a true right hand to the Managing Director, ensuring their time is optimised and priorities are managed, while also creating a professional, welcoming and well-organised office environment for the wider team and visiting stakeholders. You’ll be central to how the business operates day-to-day.
Key Responsibilities
- Full Executive Assistant support to the Managing Director including diary, inbox, travel and meeting coordination
- Acting as a gatekeeper and ensuring priorities are effectively managed
- Overseeing the day-to-day running of the office and creating a positive working environment
- First point of contact for internal queries relating to office, travel and events
- Managing relationships with suppliers, building management and external partners
- Coordinating customer visits and ensuring a professional and welcoming experience
- Organising internal meetings, events and external venues
- Supporting recruitment and onboarding, helping to create a strong first impression
- Managing office supplies, post and logistics
- Supporting quality processes and documentation where required
- Ownership of office Health & Safety and risk management processes
- Supporting security vetting processes (BPSS)
About You
- Proven experience as an Executive Assistant at senior level
- Previous Office Management experience
- Highly organised with the ability to juggle multiple priorities
- Confident, approachable and able to build relationships quickly
- Proactive and solutions-focused in your approach
- Strong communication skills with a professional, polished manner
- Comfortable working both independently and as part of a team
- Strong Microsoft Office skills (Outlook, Teams, Word, Excel, PowerPoint)
- Willingness to travel occasionally within the UK and internationally
