Working on a weekly rotating shift pattern, this role will be key in ensuring the smooth running of the reception area while assisting in booking meeting rooms and handling any additional queries. * Morning shift 8.30am to 1.00pm, afternoon shift 1.00pm to 5.30pm Job description: * Taking calls using the switchboard system, forwarding to the correct departments * Obtain outside lines, numbers and telephone information if required by extension users * Receiving and signing in visitors and contractors * Issuing work permits to contractors as necessary detailing the date and purpose of the visit * Dealing with the enquiries in a courteous and efficient manner * Being familiar with and implementing the emergency evacuation procedures as required * Preparation of all post and undertake the recording of registered, recorded and returned mail * Assist with the preparation of all items of Mail for dispatch, using the franking machine * Creation and dispatch of International Courier services * Booking of the Board Room and the Dining Room, monitoring all interview room activity * Placing orders for buffets for meetings and kitchen supplies as required * Prepare meeting rooms, assist with the provision of beverages etc Person specification: * Experience in a reception or administration role * Excellent customer service skills * Confident and professional telephone manner * A team player who is flexible and self-motivated * Proficient in Microsoft Office * High level of attention to detail and accuracy. * Excellent written and interpersonal skills.
