The Opportunity

Oplu is working on behalf of a high-profile Principal within a Private Family Office to appoint an experienced Travelling Personal Assistant. This is a lifestyle-focused role as the second Travelling PA, supporting a globally mobile Principal who spends over 50 percent of their time travelling internationally, including London, Dubai, New York, Los Angeles, and other global destinations.

You will join an established Family Office support team of circa 10, working closely with the Director of the Family Office and an existing Travelling PA. The role requires exceptional organisation, discretion, and the ability to operate calmly within a fast-paced, high-expectation environment.

Responsibilities include preparing accommodation, managing complex diaries, coordinating ground transport, and supporting bookings for the Principal’s children. Extensive international travel is required, often at short notice. This is a true 24/7 lifestyle role. Travel typically runs for two to three weeks at a time, working on rotation to ensure continuous coverage. When London-based, the role operates on a hybrid basis, with three days per week from a Central London office.

Key Responsibilities

  • Travel & Schedule Management
    • Manage the Principal’s end-to-end diary while travelling, including meetings, events, personal appointments, and social engagements
    • Proactively adjust schedules across time zones, managing last-minute changes and complex itineraries
    • Coordinate international travel logistics including accommodation preparation, ground transport, and on-the-ground support
  • Lifestyle & Family Support
    • Book and manage personal appointments, restaurants, theatres, cultural events, and leisure activities
    • Support bookings and logistics for the Principal’s children as required
    • Act as a key liaison between the Principal and friends, associates, and trusted contacts
  • Events & Coordination
    • Plan and coordinate personal and business events across multiple global locations
    • Ensure venues, transport, staffing, and services meet exacting standards
    • Manage social calendars, staff arrangements, and supplier coordination
  • Administration & Financial Oversight
    • Prepare and print meeting documentation as required
    • Track expenditure, maintain accurate records, and produce expense reports
    • Ensure budgets are adhered to and approvals obtained where necessary
  • Stakeholder & Supplier Management
    • Build and maintain relationships with global service providers, luxury suppliers, and vendors
    • Negotiate services where appropriate and resolve issues swiftly and discreetly
  • Confidentiality & Professionalism
    • Handle all personal and business matters with absolute discretion
    • Represent the Principal and Family Office with professionalism at all times

Candidate Profile | Essential Requirements

  • Proven experience as a Personal Assistant or Executive Assistant, ideally within a Private Family Office, UHNW household, or travelling PA role
  • Minimum 2 years’ experience in lifestyle management, concierge, or high-end events coordination
  • Demonstrated experience supporting principals across multiple time zones
  • A genuine 24/7 mindset and flexibility to travel internationally at short notice
  • Exceptionally organised with strong attention to detail
  • Calm, solutions-focused, and resilient under pressure
  • Strong verbal and written communication skills
  • High levels of discretion, professionalism, and emotional intelligence
  • Technologically confident and comfortable managing complex logistics
  • Strong knowledge of luxury services, high-end brands, and premium suppliers
  • Excellent relationship-building and negotiation skills
