Job Introduction

We’re looking for a Medical Secretary to provide high‑quality secretarial support to our Paediatricians and ADHD Practitioners. In this role, you’ll play a vital part in ensuring clear, timely communication that supports safe and effective patient care.
You’ll be responsible for accurately transcribing dictated medical reports using a digital dictation system, preparing clinical correspondence and working collaboratively with fellow medical secretaries as part of a supportive team. This is an ideal opportunity for someone who is organised, detail‑focused and motivated by contributing to positive outcomes in paediatric services.
Base Location and Working Hours
The role will be based across Derby Court and St Martin’s Hospital (Kempthorne House) and is offered on a six‑month fixed‑term contract, with part‑time hours ranging between 15 and 30 hours per week.
Key Responsibilities
- Accurately type and process dictated medical reports and correspondence from Paediatricians and ADHD Clinics, ensuring timely distribution
- Prepare and forward health reports and adoption medicals to relevant professionals within required deadlines
- Liaise with external and internal professionals as needed to support effective communication
- Manage team task lists and shared Outlook mailboxes efficiently
- Act as a key point of contact for clinical staff, responding to queries and providing administrative support
- Confidently use Microsoft Office applications and in‑house clinical database systems

Qualifications
- Proven experience of digital audio typing and managing a busy workload
- Ability to work independently and collaboratively within a multidisciplinary environment
- Experience maintaining electronic records and working in line with Data Protection and Caldicott principles
- Strong IT skills, including confident use of Microsoft Word, Outlook, Excel and database systems
- Excellent communication skills, with the ability to handle sensitive and confidential information appropriately
- Highly organised, able to prioritise, meet tight deadlines and work accurately under pressure
- Professional, approachable and able to build effective working relationships with discretion and diplomacy
- Proactive mindset with confidence to suggest and support improvements to processes
- Ability to travel between base locations, with access to a car
- Previous experience in a medical secretary role and understanding of medical terminology
- Experience using Lexacom or similar digital dictation systems
