About the Job
The Part‑Time Office Coordinator is essential for creating an inclusive, hospitable, and collaborative workplace environment for all OpenTable employees, visitors, and vendors. This role is a cultural champion, managing daily office operations, including reception and visitor access, and providing comprehensive support to the Office Manager for various initiatives and events. The Coordinator also plays a key role in maintaining the physical office footprint, ensuring functional upkeep and adherence to safety and security protocols by partnering with the Real Estate and other internal teams. This is a critical on‑site position requiring discretion, a proactive approach, and a passion for delivering a world‑class employee experience.
Responsibilities
- Cultivate an exceptional workplace experience by championing company culture, managing all reception and visitor activities, and creating a hospitable, inclusive environment for employees, visitors, and vendors.
- Ensure seamless daily office operations by managing catering, maintaining adequate office supplies, processing and redistributing mail/packages and fulfilling requests via the internal ticketing system.
- Coordinate and execute office‑initiated events and programs, including setup, breakdown, and facilitating localized engagement initiatives such as Diversity & Inclusion events and All Hands meetings.
- Facilitate the smooth onboarding and offboarding of employees by collaborating with People & Culture, IT, Talent Acquisition, and Property Security to ensure appropriate access and equipment.
- Provide reliable administrative and operational support to local office leadership, handle confidential matters with discretion, and offer regional backup coverage when required.
- Support virtual EMEA community and provide limited support to Kaunus office team.
Minimum Qualifications
- 2+ years of experience in office management, coordination, or a similar administrative role.
- Proven ability to manage multiple detailed tasks independently and prioritise work effectively in a fast‑paced environment.
- Strong organisational skills and meticulous attention to detail.
- Strong communication skills with timely responsiveness.
- Proficiency with standard workplace technology, including Google Workspace, Microsoft Office Suite, and Slack.
- Assisting with the physical setup of office events and the distribution of supplies, utilising safe manual handling practices and available workplace supports.
Preferred Qualifications
- A proactive, flexible, and positive approach to anticipating and addressing the needs of employees and visitors.
- Experience or familiarity with Zendesk and Canva.
- Demonstrated commitment to fostering an inclusive environment and acting as a culture champion.
- Exceptional interpersonal skills and a friendly, professional demeanor.
- Experience collaborating with cross‑functional partners like People & Culture and Talent Acquisition.
- Certified First Aider and Fire Warden or a strong willingness to undergo training and certification upon hire.
