Administrator – Northeast London Region (Romford)

We have an exciting opportunity for a friendly and enthusiastic Orthotic Administrator to join our Northeast London team.

This role is based at the Harold Wood Community Health Clinic and involves regular interaction with both patients and members of the multidisciplinary clinical team.

Key responsibilities include processing orders, preparing patient items for clinics, maintaining accurate stock management through established systems, and liaising with suppliers to ensure the timely availability of products required for patient appointments.

The role also includes responding to queries, supporting in the orthotic referral pathway and providing a high standard of administrative support.

Key Responsibilities

  • Process orthotic referrals (patient/supply/ward) via email or e-referral on REHAPP.
  • Accurately add new patient details to REHAPP.
  • Perform additional administrative tasks as required (e. g., scanning notes, sending information).
  • Support external clinic administration (e. g., schools) including preparing clinic items and queries.
  • Book and manage shipping (UPS)
  • Act as the main point of contact for admin tasks, support, and queries.
  • Book goods in/out, process orders, manage shipping (TNT, Royal Mail, UPS), and handle slow-moving stock transfers.
  • Maintain adequate stock levels and ensure clear labelling and housekeeping of stores areas.
  • Process returns to suppliers.
  • Manage REHAPP-related workflows.
  • Ensure appropriate levels of PPE stock holding.
  • Complete weekly stock count process.
  • Take part in the annual stock take process.
  • Liaise with NHS stakeholders, clinicians, central purchasing, Ortho-Europe, and other company staff.

Skills and Experience

  • Excellent organisational and prioritisation skills, with the ability to multitask and work to tight deadlines.
  • Strong written and verbal communication skills, including a professional telephone manner and effective people skills.
  • High attention to detail and accuracy in all tasks.
  • Proficient in Microsoft Office applications, including Excel, Word, and Outlook; computer literate across general systems and willing to learn new in‑house systems.
  • Able to use own initiative while also being a collaborative and supportive team player.
  • Positive, proactive, and helpful attitude at all times.
  • Comfortable handling confidential information and adhering to data security protocols.
  • Physically capable of utilising equipment to move boxes and manage stock-related tasks.

Qualifications

  • Proven track record in administration or stores administration
  • Microsoft 365
  • Order processing and data entry using IT systems
  • Experience in a healthcare environment/service.
