As a Senior Executive Assistant at Ontario Teachers’, you will play a critical role in supporting senior leaders and enabling the smooth day-to-day operations of a high-performing investment team. This position requires a proactive, highly organized and solutions-oriented individual who thrives in a fast-paced, dynamic environment and is able to manage multiple priorities with professionalism and discretion.

You will act as a trusted partner to senior executives, providing seamless administrative and operational support across a broad range of activities including complex calendar management, travel coordination, meeting logistics, expense management and team operations. Success in this role requires exceptional attention to detail, strong judgement, a collaborative mindset and the ability to anticipate needs before they arise.

Reporting to a Leadership Team Member of the London Office, you will provide administrative support for a Senior Managing Directors and their team of investment professionals. You will join a team of Administrators and will be providing a wide range of support to employees within our London office.

What You’ll Do

  • Provide high-level executive support to two Senior Managing Directors and their wider teams within a fast-paced investment environment.
  • Proactively manage complex calendars, meeting coordination and scheduling across multiple time zones, balancing changing priorities and business needs.
  • Coordinate international and domestic travel arrangements, including detailed itineraries, logistics and visa requirements where applicable.
  • Prepare, review and submit expense reports in a timely and accurate manner, ensuring compliance with internal policies.
  • Manage vendor invoices and support the processing and tracking of payments.
  • Coordinate and consolidate expenses to support portfolio company chargeback processes.
  • Support recurring board and governance engagements for portfolio companies, including scheduling, logistics and meeting preparation.
  • Organize internal team meetings, offsites, client meetings and business development events, including catering and venue coordination.
  • Build strong working relationships with internal stakeholders, external partners and senior executives, acting as a trusted point of contact.
  • Anticipate administrative needs, identify process improvements and provide proactive support to enhance team effectiveness.
  • Handle sensitive and confidential information with professionalism, discretion and sound judgment.
  • Provide additional administrative and operational support as required across the London office.

What you’ll need

  • Significant experience supporting senior executives in financial services, private equity, investment management, or a similarly fast-paced corporate environment.
  • Proven ability to manage competing priorities and work effectively under pressure with a high degree of professionalism and attention to detail.
  • Strong organizational and time management skills, with the ability to anticipate needs and proactively solve problems.
  • Excellent written and verbal communication skills, with confidence interacting with stakeholders at all levels internally and externally.
  • High level of discretion and judgment in handling confidential and sensitive information.
  • Strong proficiency in Microsoft Office, including Outlook, Word, Excel and PowerPoint.
  • Experience coordinating complex international travel, executive calendars and senior-level meetings.
  • Ability to work independently while also collaborating effectively within a team environment.
  • Strong relationship-building skills and a client-service mindset with a positive, adaptable and solutions-oriented approach.
  • Demonstrated initiative, accountability and follow-through in managing tasks and projects.
  • Experience working in a global or international office environment is an asset.
  • Post-secondary education is considered an asset.
  • Flexibility and willingness to support business needs outside of core working hours when required.
  • Additional language skills would be considered an advantage.
