Our client - an independent company providing medical services to the private Health Care sector and the NHS - is recruiting for a new role as a Bookings Coordinator.
As the Bookings Coordinator you will be directly responsible for delivering an excellent customer service to patients, consultants, secretaries, and clinical teams at the clinic based in Central London.
Hours are 35 hours per week – Monday through Friday. Working either 8 am to 4 pm or 10 am to 6 pm depending on the clinic requirements.
Responsibilities
- Handle calls and work as part of the bookings team, providing the first point of contact for patients, consultants, practice managers, and handling all external enquiries via telephone and email.
- Ensure all calls and enquiries are answered quickly, efficiently and within time‑frames while providing a high‑quality and professional service.
- Update and manage the diary and maintain/exceed a minimum booking rate (targets to be agreed) for all bookings.
- Provide a highly efficient, easily accessible booking service for our customers.
- Ensure all referrals and appropriate patient data are recorded onto the patient administration system.
- Proactively manage the patient administrative pathway in the delivery of clinical services, including appointment information.
- Ensure patient records are maintained and processed in accordance with the Data Protection Act 2018 as indicated in the company's Data Protection Policy.
- Develop and nurture excellent departmental relationships with internal and external stakeholders.
- Inform and advise senior staff of all matters affecting service and patient care.
- Train new team members and in‑house users of our systems.
- Work with all clinical and non‑clinical staff within the business to provide an efficient and effective patient journey.
- Assist colleagues to ensure patient radiology reports are completed within the 24‑hour target.
- Any other reasonable request as requested by management.
- Provide cover for annual leave of receptionist when required.
