Are you a highly organised and detail‑driven administrator with a passion for making a difference in education? We are seeking an Education Health and Care Plan (EHCP) Administrator to play a vital role in supporting students with additional needs by ensuring the effective coordination of EHCP processes. Working as part of a dedicated Disability Services team, you will be at the heart of arranging reviews, managing essential documentation, and liaising with internal teams and external partners to help deliver an outstanding student experience.
Responsibilities
- Ensures that all administrative duties for the EHCP team are completed.
- Schedules annual reviews over an academic year for the team of EHCP Officers, including preparing necessary paperwork.
- Prepares annual review paperwork and ensures documentation is available on the college information management system.
- Takes notes as required in more complex annual reviews, providing an accurate record for any updated EHC Plan.
- Collates and maintains accurate details for students on roll with EHC Plans and works proactively for prospective students.
- Coordinates the EHCP inbox, ensuring requests are dealt with or triaged in a timely manner, including consultation requests and information requests from external stakeholders.
- Makes essential phone calls to gather and verify accurate information, contacting young people, families, social services and the local council, and follows up to keep all details current.
- Maintains accurate records that support the college in quality assurance, audit processes and funding claims in line with institutional responsibilities and departmental expectations.
- Uses IT and college internal systems such as EBS to disseminate key information to teaching staff and curriculum managers from EHC Plans.
- Liaises between the college and all relevant local authorities to maintain positive working relationships.

Education & Training
- GCSE 4–9 or equivalent Level 2 qualification in Maths, or be prepared to pass a test before the interview to demonstrate Level 2 ability, then achieve level 2 within an agreed timescale.

Experience
- Experience in an administrative or customer service role.
- Experience liaising with a range of stakeholders, including parents and carers.
- Experience organising diaries and tracking deadlines effectively.
- Experience collating, preparing, and writing reports and using data applications such as MS Excel to manipulate and manage information accurately.
