The Opportunity:

We are looking for an Executive Assistant to support the Onex team and assist the Facilities team with day-to-day operations in London. The expectation is that 75% of the successful hire’s time will be spent on executive administration work and the balance on facilities support; this may change depending on business needs and requirements. The ideal candidate will be a collaborative individual looking to grow within a small but high performing team of Executive Assistants.

Key Responsibilities:

  • Maintenance and management of calendars for several team members utilizing Microsoft Outlook.
  • Scheduling of meetings and travel coordination.
  • General administrative support including creating, maintaining, and editing documents, spreadsheets and presentations.
  • Coordination of internal and external meetings to include room reservation, equipment set-up, catering, and meeting material preparation.
  • Management and coordination of interviews as it relates to team recruitment.
  • Arrange international and domestic travel for executives including flights, hotels, car rentals, and car services as required.
  • Process expense reports in compliance with firm policies.
  • Handle incoming communications and respond or redirect as appropriate.
  • Other administrative and reception duties as required.
  • Meet guests and make any required beverages.
  • Support the daily operations of the London office, including managing kitchen spaces and related deliveries.
  • Assist with desk moves, space planning, and meeting room setups.
  • Help track and report facilities issues and follow up on resolutions in a timely manner.
  • Act as point of contact in the absence of the Facilities Manager.

Candidate Profile:

  • 2+ years of related administrative/executive assistant experience or 5+ years in a customer-facing role.
  • Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint).
  • Excellent verbal and written communication skills. Additional languages are beneficial but not required.
  • A high degree of professionalism, initiative and independence; excellent and collaborative professional demeanor with the ability to work with a wide range of levels and management.
  • Comfortable working in a fast-paced environment, ability to multi-task, shift direction easily and prioritise.
  • Excellent time management, organisational and interpersonal skills.
  • Solutions oriented; resourceful, well organised, highly dependable, efficient and detail oriented.
  • Must be able to handle confidential information with the appropriate level of discretion.
  • Prior experience within private equity or financial services is preferred but not required.

Other:

  • Hybrid Schedule: 4 days in office. Schedule to be decided as part of team rota, flexibility in this regard is critical.
