About the department
Our department is at the heart of the patient experience, serving as the first point of contact for visitors, patients, clinicians, and external partners. We play a vital role in ensuring that every patient receives a warm, professional, and efficient welcome while supporting the smooth delivery of high‑quality clinical care. Working closely with physicians, clinical teams, and third‑party providers, the department ensures that patient pathways are well coordinated, confidential, and patient‑centred. Accuracy, compassion, and operational excellence are central to everything we do.
About the role
As a key member of the reception and patient administration team, you will be responsible for delivering an exceptional patient experience from first contact through to completion of care. You will manage patient registration, ensure demographic and referral information is accurate and up‑to‑date, and take ownership of scheduling consultations, diagnostic tests, and procedures.
The role requires meticulous attention to detail when handling electronic care records, scanning and attaching correspondence, and maintaining confidentiality in line with data protection and information governance policies. You will act as a central communication point, handling enquiries sensitively and efficiently, relaying messages promptly to clinicians, and supporting patients with reassurance and professionalism.
In addition, you will work collaboratively with clinicians, practice secretaries, and external providers to ensure effective utilisation of physician schedules and seamless patient pathways. The role also involves preparing patient records, maintaining a welcoming reception and waiting area, and managing billing and invoicing for self‑pay and third‑party funded patients where required.
This role will be working Monday & Friday at our London site on a rolling shift pattern of either 7:45am to 16:15pm or 11:30am to 20:00pm.
About you
You are a highly organised and detail‑oriented individual with a strong commitment to delivering outstanding patient care. You have excellent communication skills and are confident dealing with patients both in person and over the phone, always demonstrating empathy, discretion, and professionalism.
You are comfortable working with IT systems and electronic care records, with a proven ability to maintain accurate data and uphold strict confidentiality standards. A proactive team player, you work well under pressure and collaborate effectively with clinical and administrative colleagues to ensure smooth day‑to‑day operations.
You take pride in creating a positive, welcoming environment and understand the importance of efficiency, accuracy, and sensitivity in managing the patient journey. Previous experience in a healthcare, clinical, or patient‑facing administrative role would be an advantage, along with experience in scheduling, billing, or care coordination.
