About the Company
We are a fast-growing aviation technology company based in Middlesbrough, operating globally and working at the forefront of innovation within the aviation sector. As we continue to scale, we’re looking for a highly organised and proactive Executive Assistant to support our Chief Customer Officer and help keep both operational and commercial activity running smoothly.
Role
This is a varied, hands-on role suited to someone who enjoys working in a dynamic environment and supporting across multiple functions. You’ll provide executive-level support while also assisting with office management, sales administration, recruitment coordination, marketing activity, and tender processes.
We’re ideally looking for someone local to Middlesbrough who can work alongside the CCO in the office when required, while also benefiting from hybrid working flexibility.
Key Responsibilities
- Executive & Administrative Support
- Diary and inbox management
- Organising UK and international travel (flights, accommodation, itineraries)
- Preparing documents, presentations, and reports
- Acting as a key point of contact internally and externally
- Finance & Invoicing
- Raising and tracking invoices
- Supporting basic financial administration
- Liaising with finance providers/accountants as required
- Recruitment Support
- Coordinating interviews
- Managing candidate communications
- Supporting onboarding administration
- Office Management
- Day-to-day office coordination
- Managing suppliers, equipment, and office needs
- Ensuring smooth office operations
- Sales Administration
- CRM updates and sales admin support
- Assisting with customer documentation
- Supporting the sales team with administrative tasks
- Tender & Bid Support
- Assisting with tender and bid applications
- Managing deadlines, documents, and submissions
- Coordinating inputs from internal stakeholders
- Marketing & Events Support
- Providing administrative support to marketing activities
- Coordinating UK-based events in collaboration with our centralised teams
- Organising merchandise, branded items, and event materials within the UK
- Supporting campaign logistics, schedules, and documentation
- Global Team Coordination
- Working closely with our centralised teams based in New Zealand and Australia
- Assisting with coordination across time zones
- Attending fortnightly evening meetings with NZ head office (with flexibility provided elsewhere in working hours)
About You
- Proven experience as an Executive Assistant, PA, or senior administrator
- Highly organised with excellent attention to detail
- Comfortable working in a fast-paced, scaling business
- Confident juggling multiple priorities and variable workloads
- Strong written and verbal communication skills
- Proficient with Microsoft Office / Google Workspace
- Proactive, adaptable, and able to work independently
Working Pattern
- Starting at approximately 20 hours per week
- Hours will be flexible and may vary week to week
- Hybrid working (office-based in Middlesbrough plus home working)
- Occasional evening meetings to support global collaboration
