Product Team Sample Coordinator
Reports into: Senior Buyer
Contract Type: Full Time, 7.5 hours per day, 5 days per week
Location: Hybrid, 3 days a week in our offices based in Old Street, London

About you:
You will be a highly organised and detail-oriented sample coordinator, skilled in managing and tracking product samples across multiple departments. Proven ability to thrive in fast-paced environments, adapt to shifting priorities, and ensure smooth sample flow from intake to shoot and return. Known for a proactive, solution-focused mindset and strong communication skills, with a track record of supporting cross-functional teams efficiently.
You’ll be responsible for:
- Managing all product samples for photoshoots and internal team requirements
- Overseeing the receipt of samples sent from the factories
- Managing the sample tracker from the factories and ensuring product is on time
- Communicate with the factories and buying team regarding delays or issues
- Identifying and documenting damaged or incorrect samples; notify buying team as needed
- Organising and maintaining all fit and development samples & packages coming into the business
- Ensuring with the garment tech team and buyers all product samples are stored neatly in the correct areas at the end of each day
- Helping the buyer’s admins on any other admin requirements such as sending post and filing
You’ll need to have:
- 1 year of experience in fashion retail, ideally in a sample management or coordination role
- A passion for activewear and moving your body
- Strong organisational skills with exceptional attention to detail
- Ability to thrive in a fast-paced environment and manage multiple tasks efficiently
- Ability to comfortably and continuously re-prioritise based on conflicting schedules or unforeseen changes
- A proactive attitude and able to 'second guess' requirements
- A positive, solutions-driven mindset
- Excellent communication and collaboration skills to work cross-functionally with different teams
Nice to have’s:
- Proficiency in Google Sheets and Monday.com for tracking and workflow management
- Resilient and adaptable to a sometimes demanding environment
- Energetic, have the ability to stay on the move throughout the day and comfortable with manual handling
