One to One Personnel is proud to be working with our global brand client who is looking to hire an Assistant Shipping Manager based at their head office in Watford.
To be considered for this role you must have the following experience:
- Bachelor’s degree in Supply Chain Management/ Logistics and previous experience in shipping, logistics, freight forwarding, or supply chain operations (typically 3–5 years)
- Familiarity with international shipping regulations, Incoterms, customs procedures, and trade compliance
- Advanced Excel Formulas: Proficiency in IF conditions, VLOOKUP / XLOOKUP, as well as experience with Power Pivot, Data Modelling, Power BI and Power Query
- Basic understanding of Dashboards & Charts: Ability to understand and interpret dashboards and visual reports.
- ERP Knowledge: Good understanding of the full cycle from Procurement to Payment (PO creation to GRN), including process flows and key stages and experience in creation of Advance shipping Notifications (ASNs) in ERP.
- Ability to track and analyse shipping costs, ensuring budget compliance and identifying cost-saving opportunities in a fast-paced environment
- Excellent coordination and communication skills to work effectively with suppliers, freight forwarders, and internal teams
You must be able to clearly explain the following processes in detail:
- WMS (Warehouse Management System) helps manage stock movements in the warehouse (inbound and outbound)
- How stock is received against Purchase order or Inbound delivery (ASN), including the steps and measures they follow or consider, and what is required
- How they create a GRN (Goods Receipt Note) to bring inventory into the system
- For outbound operations, how they manage the process, including stock allocation, generating a picking ticket, delivery note, packing list, and commercial invoice from the system
Role and Responsibilities:
- Coordinate with suppliers for shipment bookings, providing necessary shipping instructions and approvals
- Plan, schedule, and track incoming shipments to ensure timely delivery
- Review and monitor the loading and consolidation plan for efficiency
- Communicate with suppliers, freight forwarders, and customs agents to ensure smooth operations
- Effectively manage and monitor daily reports and processes with Power BI and Power Query functions
- Receive, verify, and manage import documentation (e.g., invoices, packing lists, bills of lading)
- Send customs clearance instructions to the clearing agent and verify shipping references before sending the ASN to the 3PL
- Negotiate and secure competitive airfreight rates from forwarders
- Address and resolve delays, transit issues, and discrepancies in shipping documentation
- Supervise and support junior staff in the shipping department
- Provide operational and performance updates to the Shipping Manager
- Maintain and organize import documentation, data sheets, and filing systems
- Conduct shipment and invoice analysis, reconciliations, and progress tracking
- Review financial documents and collaborate with the Accounts team to manage payments and invoices
