As our business continues to grow, we're looking for an experienced Hire Coordinator / Senior Booker to join our Bookings team at our Park Royal facility.
The Role
The Bookings team sits at the centre of One Stop Films' operation, connecting our clients with our equipment, Kit Room, Technical and Logistics teams.
As a Hire Coordinator / Senior Booker , you'll take ownership of client enquiries and equipment bookings from initial enquiry and quotation through preparation, dispatch, return and completion.
This is a role for somebody who already understands the pace and demands of a professional rental environment and is comfortable managing multiple productions and clients simultaneously.
You'll need to anticipate problems before they happen, understand equipment availability, coordinate cross-hires and alternatives, and maintain clear communication between clients and our internal teams.
We're particularly interested in candidates who have previously worked within a professional camera rental house or similar film and television equipment environment .
Experience using Current RMS would be a significant advantage.
What You'll Be Doing
- Acting as a key point of contact for production companies, cinematographers, camera crews and other clients.
- Managing equipment bookings from initial enquiry and quotation through to completion and return.
- Preparing accurate quotations and responding quickly to changing client requirements.
- Managing multiple live and upcoming productions simultaneously.
- Maintaining accurate booking, client and equipment information within our rental management system.
- Working closely with the Kit Room to ensure equipment is correctly allocated and upcoming hires can be fulfilled.
- Monitoring equipment availability across current and future bookings.
- Identifying potential equipment shortages or clashes early and taking action to resolve them.
- Arranging cross-hires from other rental companies and suppliers where required.
- Suggesting appropriate equipment alternatives where requested items are unavailable.
- Tracking cross-hired equipment and ensuring it is correctly returned following completion of a production.
- Liaising closely with our Logistics team regarding deliveries, collections and changes to production schedules.
- Maintaining clear and accurate communication with clients, suppliers, technicians and colleagues.
- Building and maintaining strong long-term relationships with clients and suppliers.
- Developing an excellent working knowledge of One Stop Films' camera, lens, grip and specialist equipment inventory.
- Working collaboratively with the wider Bookings team to manage workloads and support the smooth running of the hire desk.
- Supporting less experienced members of the Bookings team by sharing knowledge and helping resolve more complex enquiries.
- Taking a proactive approach to resolving client, equipment and scheduling issues.
- Delivering consistently high standards of customer service throughout every stage of the hire process.
What We're Looking For
We're looking for somebody who already has solid experience within the rental, production or professional film and television equipment industry.
You will ideally have:
- Previous experience working within a professional camera or equipment rental house .
- Experience working on a hire desk, rental desk or within a similar booking/coordinator position.
- A good understanding of the processes involved in professional equipment rental.
- Experience managing bookings from enquiry through to completion.
- Knowledge of professional cameras, lenses and associated equipment.
- An understanding of equipment availability, allocation, substitutions and cross-hiring.
- Experience dealing directly with production companies, cinematographers, camera crews and suppliers.
- Excellent written and verbal communication skills.
- A confident and professional telephone manner.
- Strong organisational and time-management skills.
- Exceptional attention to detail.
- The ability to manage multiple jobs and priorities simultaneously.
- The ability to remain calm and make sensible decisions when working under pressure.
- A proactive approach to identifying and resolving problems.
- Strong commercial awareness and an understanding of the importance of maintaining client relationships.
- The confidence to work independently while remaining an effective member of the wider team.
Rental Management System Experience
Experience using Current RMS is highly desirable .
Candidates with experience of another professional rental management system are also encouraged to apply, provided they have the ability to quickly learn and adapt to Current RMS.
You should be comfortable using rental software to manage quotations, orders, equipment availability, client records and the progress of live and upcoming hires.
Experience
For this position, we are looking for candidates with relevant professional experience rather than somebody completely new to the industry .
Ideally, you will have several years' experience working within:
- Camera or film equipment rental;
- A professional rental or hire desk;
- Film or television production;
- Broadcast equipment rental; or
- A closely related technical rental environment.
Previous professional camera rental experience would be strongly preferred.
A good working knowledge of current professional camera and lens systems would also be a considerable advantage.
What Success Looks Like
You'll be somebody who can take ownership of a client or production and confidently manage the booking from start to finish.
You'll understand what's happening across your jobs, know where potential equipment shortages or scheduling problems might arise and deal with them before they become problems for the client.
Our Kit Room and Logistics teams will have the information they need, our clients will know what's happening, and bookings will remain accurate as productions change.
Most importantly, you'll build relationships with clients who know they can pick up the phone to you and trust that you'll find a solution.
Working Hours
Our Bookings operation supports clients between 8:00am and 6:00pm, Monday to Friday , with the team working staggered shifts across those hours.
Due to the nature of film and television production, some flexibility may occasionally be required during particularly busy periods or where production requirements change outside normal working hours.
