Reservations Officer

Location: Hatfield. Working hours: 37.5 hours Mon – Fri. Remuneration: Equivalent to National Minimum Wage. Job Reference: HAT/RES/0626. Closing Date: 12-Jul-26. Up to 33 days inclusive of bank holidays.

One Hatfield Hospital, part of Phoenix Hospital Group, is seeking a highly organised and customer‑focused Reservations Officer for a full‑time permanent role. The role involves coordinating patient reservations and ensuring a smooth booking process for patients, consultants and internal departments.

Key Responsibilities

  • Manage patient appointment and admission reservations via telephone, email and internal referrals.
  • Maintain consultants' clinic diaries and availability.
  • Communicate booking confirmations and relevant information to patients.
  • Respond to patient and stakeholder queries in a professional and timely manner.
  • Liaise with internal departments and external stakeholders to coordinate reservations.
  • Verify patient details and insurance information where required.
  • Process reservation documentation and update patient records accurately.
  • Assist with clinic preparation, patient check‑ins and general administrative tasks.
  • Support the wider team to ensure efficient day‑to‑day operations.

Qualifications & Requirements

  • Previous administration or customer service experience.
  • Strong organisational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Confident using computer systems and standard office software.
  • Ability to work independently and as part of a team.
  • Ability to manage multiple tasks and meet deadlines.Previous experience in a healthcare or clinical environment.
  • Experience managing reservations, appointments or scheduling.
  • Personal qualities: professional, positive and approachable.
  • Flexible and adaptable in a fast‑paced environment.
  • Reliable with a strong work ethic.
  • Committed to maintaining confidentiality and high standards of service.
