One Day Agency is an integrated advertising and marketing agency with offices in Manchester, London, and Warsaw. As a young 5-year-old agency, we have a team of 12 friendly, dynamic and passionate young professionals working with clients worldwide.
The Role:
We are seeking an experienced and super-dynamic Office Manager, our first, to become the backbone of our fast-paced Manchester office. This is more than just old-school Office Management. In this role, you will manage office operations, directly support our team across various departments, streamline internal processes, oversee HR functions, assist the CEO, and contribute to project management with ample opportunity for growth and learning. This is an exciting opportunity for an existing office manager to expand their roles and responsibilities in a relaxed and friendly environment.
Key Responsibilities:
Office Management:
• Oversee daily office operations to ensure efficiency and effectiveness.
• Manage office supplies, goods, and amenities, ensuring the workplace is well-stocked and organized.
• Coordinate travel arrangements and manage expense reports for team members.
• Maintain office welfare, hygiene, and organization to provide a pleasant working environment.
Document and Digital File Management:
• Organize and maintain digital files, ensuring documents are easily accessible and properly archived.
• Manage contracts and liaise with suppliers to ensure project delivery.
Front Office and Communication:
• Welcome guests and visitors, ensuring a positive and professional first impression.
• Handle incoming phone calls, filtering and transferring them to appropriate team members.
• Manage the company’s general email inbox, filtering emails, responding where appropriate, and directing messages to relevant staff.
Staff Management and HR Support:
• Manage staff absences and holidays, ensuring accurate records.
• Organize staff welfare activities, including birthday treats/cards and office treats, fostering a positive team culture.
• Assist with HR processes, including onboarding new employees and maintaining personnel records.
Project Management and Administrative Support:
• Assist in preparing client reports and support media buying activities.
• Manage relationships with suppliers, including media partners, photographers and more.
• Provide limited client management support as needed.
• Coordinate and manage projects to support various departments within the agency.
Qualifications:
• Proven experience as an Office Manager or in a similar administrative role within a creative or marketing environment.
• Excellent organizational and multitasking skills, with a keen attention to detail.
• Strong computer skills to match our fast-paced environment, including proficiency with a multitude of software and Apple hardware.
• Exceptional communication and interpersonal skills, with the ability to interact effectively with team members, clients, and suppliers.
• Ability to work independently, prioritize tasks, and manage time efficiently.
• Experience in limited HR processes and staff management is highly desirable.
• Familiarity with project management principles and tools is a plus.
• Exceptionally proactive and solution-first oriented.
