The Role
We’re looking for a brilliant organiser to take ownership of the day-to-day running of our Manchester office.
You’ll create a welcoming, well-organised environment for our team and visitors while keeping the practical details moving behind the scenes.
This is a hands-on role at the heart of the agency.
You’ll be the person who notices what is needed, solves problems early and makes it easier for everyone else to do their best work.
Key Responsibilities
- Office and Workplace Operations
- Act as the first point of contact for the Manchester office, welcoming visitors and helping the team with day-to-day office needs.
- Manage the main office phone and shared inbox, responding promptly and directing enquiries to the right person.
- Keep the office well stocked and ready for the week, including stationery, kitchen supplies, food, drinks and snacks.
- Coordinate third-party suppliers, including cleaners, maintenance teams, building management, couriers and other workplace partners.
- Manage meeting rooms, deliveries, office access, equipment and practical arrangements for client and team meetings.
- Identify problems before they become distractions and take ownership of getting them resolved.
- Administration and Project Support
- Track routine office spending against agreed budgets and help the team make sensible, cost-conscious purchasing decisions.
- Support the practical side of staff onboarding and off-boarding, including office access, workspace set-up and essential information.
- Provide reliable ad hoc administrative support to the leadership and operations teams when needed.
- Team and Client Experience
- Organise team socials, lunches, celebrations, off-sites and other moments that bring people together.
- Coordinate thoughtful staff and client gifts for birthdays, milestones, campaign launches and special occasions.
- Help meetings and agency events run smoothly, including room preparation, catering, refreshments and guest logistics.
- Suggest and introduce ideas that make the office more welcoming, efficient and enjoyable for everyone.
- What We’re Looking For
- Previous experience in office management, office coordination, administration, team assistance, reception or a similar hands-on role.
- An exceptional organiser who can manage several priorities without losing attention to detail.
- A warm and confident communicator who is comfortable speaking with colleagues, clients and suppliers.
- A proactive and practical approach. You won’t wait to be told when something clearly needs attention.
- Reliability, good judgement and discretion when handling supplier information or sensitive internal details.
- Confidence using Google Workspace. Experience with invoice or accounting systems such as Xero would be helpful but is not essential.
- A genuine team player who enjoys helping people and takes pride in creating a brilliant place to work.

Salary and Benefits
- Competitive salary based on experience and the agreed working pattern.
- A four-day working week, Monday to Thursday, based in our Manchester office. Full-time or part-time hours can be considered.
