OVERVIEW
As the Head Receptionist at our luxury Marble Arch centre, you will take full ownership of the front-of-house experience, delivering an exceptional meet-and-greet service that elevates Meridien House from the very first interaction. First impressions are everything, and as the face of our business, you will create a warm, seamless and memorable arrival experience that sets the tone for the entire workplace.
In this role, you will be the first point of contact for everyone entering the building, ensuring a welcoming and professional atmosphere while prioritising client needs above all else. You will work independently at the reception desk, maintaining a consistent presence to greet visitors and assist with queries. While your main base will be reception, you will also support the centre management team with interesting projects that can be completed from your desk.
You will oversee reception for the entire building. One Avenue occupies five of the six floors, while the second floor houses another company, and you will act as their receptionist too. The building also includes a residential section, so you may occasionally assist residents or contractors, ensuring a professional standard across all interactions. Your role is pivotal in shaping an inspiring environment and building trusted relationships.

RESPONSIBILITIES
As the Head Receptionist, you will take ownership for the meet and greet service that is paramount to maintaining the incredible impression of our business. We are on the search for an independent individual who has a natural flare for interacting with people from all walks of life!
The responsibilities of the role include, but are not limited to, the following:
- Reception & Front-of-House
- Delivering a superior meet-and-greet service to our clients, their guests and brokers, maintaining the One Avenue brand standard.
- Signing in guests, tracking visitors and handling the access system, ensuring compliance with security protocols and a seamless guest experience.
- Managing building access control, overseeing the issuing of access cards and fobs, monitoring entry points and ensuring only authorised individuals gain access to the premises.
- Handling all client requests, efficiently taking, transferring and listening to voicemail messages on the phone system, ensuring all messages are actioned promptly and professionally.
- Responding to general building enquiries, acting as the first point of contact for questions regarding facilities, amenities and building services, providing accurate and helpful information.
- Ordering couriers, receiving packages and ensuring clients are aware of their arrived packages.
- Organise and maintain client folders to ensure accurate and up-to-date records.
- Manage and maintain the company calendars for the West End cluster and centres.
- Clients’ needs are of high priority, connections must be established with our clients, by creating meaningful and beneficial relationships.
- Assist the centre management team with activities that can be actioned within reception. This may include printing, copying, ordering, social media posts, event coordination and other administrative ad hoc tasks as required. Being proactive by always looking for innovative ways to enhance One Avenue’s services and facilities.
- General Building Management
- Act as the primary liaison with maintenance operatives for timely resolution of building issues.
- Coordinate with domestic cleaners to maintain exceptional cleanliness standards in all common areas.
- Monitor the building’s CCTV system to ensure security and promptly report any unusual activity or concerns to the centre management team.
- Ensure full compliance with health and safety standards by acting as the designated Fire Warden for the building. Lead fire evacuation procedures, coordinate and assist with drills, and maintain accurate fire safety documentation.
- Client & Visitor Experience
- Provide local area knowledge to enhance client and visitor experience, including recommendations for activities, cultural sites, restaurants, cafés, and entertainment options.
- Maintain a curated list of trusted contacts and links to value-adding services (e.g., catering, concierge, transport).
- Stay informed about seasonal pop-ups, events, and happenings in the vicinity to share with clients and guests.
- Ensure the reception area reflects a welcoming and premium environment at all times.
- Manage business relationships and collaborations through the OAG app, ensuring smooth communication and engagement.
REQUIRED EXPERIENCE & SKILLS
We are looking for someone with the drive to support our operations team at Meridien House, with the desire to learn, grow and develop a career within Reception and Administration. The key skills required are:
- Previous experience in reception, customer service roles or similar.
- Ability to handle interactions with a range of different stakeholders.
- Front desk operations including managing calls, visitor management and scheduling.
- Clear verbal and written communication for interacting with clients and internal teams.
- Strong organisational skills to manage multiple tasks, appointments and administrative duties.
- Competence with MS Office applications and booking systems.
- Ability to solve problems quickly and effectively.
- Proactive in your approach, always looking for things to do and improve to support the business performance.
- Can work autonomously and independently majority of the time but is also able to work collaboratively when requested by management.
