Role Purpose
The Flight Ops Support Administrator is responsible for coordinating and managing all administrative aspects for the Flight Ops department. Administrative tasks must be completed accurately and on time as well as communicating accurately to all relevant departments with an understanding of the deadlines required by the individual departments.
Key Accountabilities & Responsibilities of the role:
- Responsible for the daily co-ordination with external suppliers specific to Pilots. (ID’s, uniform, Pilot documentation, catering, crew bedding).
- Assist the Flight Ops Management Team with any administration required, ensuring confidentiality at all times and that all documentation and records are kept in-line with General Data Protection Regulations (GDPR.)
- Responsible for all Pilot workflows for joiners and leavers within the Flight Ops Centrik system.
- Responsible for uploading Pilot documentation on the airline’s safety system.
- Assist with the production and upkeep of Flight Ops manuals and documentation.
- Manage and co-ordinate specific Flight Ops Meetings.
- Monitor Pilot Absence working closely with the Pilot Managers and HR.
- Create and update welcome packs for Pilots for inductions.
- Responsible for ensuring the Pilot Managers are kept up to date with all Pilot related issues and as appropriate Ground Operations and HR.
- Works closely with Flight Operations Training Administrators ensuring clear concise communication channels are kept open at all times.
Key skills , knowledge, Experience required: (i.e. those required to fulfil the role, including qualifications):
- Strong organisational and time-management skills.
- Educated to “A” level standard
- A minimum of 2 years of experience in an administrative role, preferably within the aviation industry.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Attention to detail and accuracy.
- Ability to use own initiative and problem solve.
- Ability to work independently and as part of a team.
- Excellent customer service skills to the Pilots and other departments.
Additional relevant information:
The role is based a minimum of 3 days at the office and the rest from home and the role holder maybe required to work out of other bases on occasion.
What we offer:
An annual salary of £30,000, holiday allowance of 33 days including bank holidays, 8% Company pension contribution, Employee Assistance Programme, Life Assurance (3x annual salary) and Private Healthcare Insurance after successful probation.
