As a Project Coordinator, you’ll play a key role in bringing Omaze charity partnership campaigns to life. You’ll support the end‑to‑end delivery of campaigns by keeping timelines on track, coordinating logistics, and ensuring everything runs smoothly behind the scenes. This is a highly organised, detail‑driven role focused on execution. You’ll work across multiple teams to keep projects moving, making sure assets, approvals, and schedules are aligned so campaigns are delivered efficiently and to a high standard.
What You’ll Be Doing
- Own and maintain campaign timelines, trackers, and project management tools (e.g. Monday.com, Notion)
- Schedule key milestones including meetings, shoots, and campaign deliverables
- Track progress across campaigns, flagging risks and delays early
- Manage the movement and organisation of creative assets, ensuring version control and accuracy
- Support approval processes and maintain clear, structured documentation
- Coordinate production logistics including shoot schedules, travel, accommodation, and on‑the‑day requirements
- Support pre‑production meetings (PPMs) and ensure all necessary documentation is completed (e.g. release forms, compliance)
- Schedule cross‑functional meetings and keep calendars aligned
- Capture actions and ensure follow‑ups are completed across teams
- Help maintain clear and consistent communication between stakeholders
- Keep internal trackers up to date (campaigns, ambassadors, storytellers)
- Provide simple status updates to stakeholders and support quarterly reporting snapshots
- Support campaign events and key moments, including logistics and coordination
- Organise internal sessions such as Lunch & Learns (invites, catering, tech setup)
- Maintain organised folder structures and ensure documentation is accessible
- Support internal processes and compliance tracking (e.g. Clearcast)
- Attend Charity partner events as and when required
About You
- You have proven experience in a coordination or project support role
- You’re highly organised with strong attention to detail
- You’re proactive and comfortable managing multiple workstreams at once
- You’re a clear communicator who enjoys working across different teams
- You’re confident using project management tools like Monday.com or Notion
- You take pride in keeping things running smoothly and efficiently
