Project Lead – Healthcare Software Implementation

We are hiring for a Project Manager to lead our healthcare software implementation projects across our whole field service department. This is a key role to ensure the delivery of our new endoscopy software being implemented into hospitals across the UK. This role can be based anywhere in the UK, with no fixed office but will require up to 50% travel for the first 6 months of the role.
The Project Lead is a key member of the Field service team, responsible for guiding new customer implementations of the Olympus Ecosystem software. This role requires strong project management skills to coordinate various tasks such as gathering technical requirements, creating project plans, adhering to schedules, organising training sessions, and ensuring smooth handoffs to support teams. The Project Lead will work closely with cross‑functional teams including engineering, product management, customer support, and quality assurance. Their focus will be on fostering effective communication and collaboration to keep everyone aligned and moving towards the project goals. In addition to internal coordination, the Project Lead will also serve as a point of contact for external stakeholders, ensuring clear communication and understanding of expectations.
Your Responsibilities
- Serve as the project lead on implementation of Olympus software into hospitals
- Act as the main point of customer contacts post‑sales
- Create project timelines using department‑wide templates, customising as needed per customer/project
- Organise both customer and internal documentation
- Assist customers in the project discovery phase, gathering technical requirements and limitations, including networking review, architecture review, etc.
- Organise correct resources for all contributing parties on all sides (Olympus, customer, 3rd party)
- Conduct weekly project status meetings, ensuring detailed meeting notes are captured and shared out to all contributing parties
- Work with hospital IT infrastructure and in‑country Olympus resources to schedule and complete installations, including pre‑work and on‑site installations
- Ensure customers are trained properly and fully leading up to project GO LIVE
- Transition projects over to support teams seamlessly
- Support the customer success team to ensure all customer expectations are met
- Assist with updating project templates and SOPs as software product evolves
- Share project statuses with internal stakeholders, ensuring the company is always driving forward
- Oversight and standardisation, and implementation of best practices
Qualifications and Experience
- Minimum 3 + professional years of experience in the project management field
- Healthcare experience highly desired for this role (alongside software implementation experience)
- In‑depth working knowledge of the UK NHS, provider environment
- Ability to present information in a structured and balanced manner
- Ability to interact with sales, service, support and all levels of leadership
- Strong customer service skills and the ability to deal with difficult customer situations
- Strong numerical and analytical capability to understand underlying behavioural trends and to measure the results
- Familiarity with software development processes, agile methodologies, and QA practices
- Demonstrated ability to work under pressure and manage multiple escalated cases concurrently
- Must be able to work as part of a cross‑divisional team
- Ability to travel up to 50% of the time – UK mainland
- Highly motivated, proactive and enthusiastic and able to work with minimum supervision and with the ability to meet deadlines and work within agreed budgets
- Understanding of IT Service Management (ITSM) principles and practices
