Based in Manchester, working as a small, high-performing team alongside our Global Operations Coordinator, we create the infrastructure, processes and technology that enable Oliver James to grow, operate smarter and deliver exceptional experiences for our clients.

Overview

Reporting to the Head of Operations, this is an exciting opportunity to play a key role in transforming how a global recruitment and consulting business responds to client opportunities.

This isn't a role where you'll simply complete another questionnaire before moving on to the next. You'll take ownership of live client responses while helping to build the smarter systems, content and technology that sit behind them.

You'll help us evolve from a traditional bid function into an AI-enabled capability, where technology takes care of repetitive tasks and our people focus on insight, collaboration and winning work.

Whether you already have experience in bids and proposals or are looking to build a long-term career in this growing profession, we'll invest in your development through coaching, exposure to global projects and opportunities to pursue recognised professional qualifications, including the Level 3 Bid and Proposal Coordinator Apprenticeship, supported through our Apprenticeship Levy where appropriate.

You may already have experience in bids, tenders, recruitment, operations or professional services. Equally, you may come from a content, project coordination, knowledge management or process improvement background and be looking to develop a career in bids and proposals.

  • Experience completing bids, tenders, DDQs, RFPs or client questionnaires.
  • Experience within recruitment, professional services or another B2B environment
  • Knowledge of content management or document libraries
  • Exposure to AI-enabled bid platforms or knowledge management tools (e.g. AutoGenAI, Proposify, RocketDocs).
  • Experience producing management information, dashboards or client insight reports.

An insight into some of your responsibilities:

Bid Delivery

  • Coordinate and manage client DDQs, RFPs, RFIs, supplier questionnaires, security assessments and ESG requests.
  • Produce compelling, accurate and client-focused responses.
  • Use AI-enabled platforms to generate high-quality first drafts and improve efficiency.
  • Coordinate reviews with subject matter experts and ensure submissions are completed accurately and on time.
  • Monitor bid activity, deadlines and submission performance.

AI, Technology & Automation

  • Help shape Oliver James' AI-enabled bid capability.
  • Identify opportunities to automate repetitive activities and improve efficiency.
  • Build prompts, workflows and smarter ways of working using emerging technologies
  • Explore new tools that improve quality, consistency and speed.

Knowledge & Content Management

  • Experience completing bids, tenders, DDQs, RFPs or client questionnaires.
  • Own and continuously improve our central bid content library.
  • Capture expertise from across the business and convert it into reusable, AI-ready content.
  • Maintain governance, version control and document quality.
  • Identify opportunities to improve response quality through content analysis.

Client Insight & Market Intelligence

  • Produce insight that helps us understand client expectations and market trends.
  • Analyse questionnaires and tender requests to identify recurring themes and future opportunities.
  • Monitor developments across ESG, compliance, security and procurement to strengthen future responses.
  • Develop reporting on bid activity, turnaround times, automation and content reuse.
