Role: Marketing Operations Manager - 6 month FTC

About the role

You’ll be part of a Marketing Operations team embedded within the marketing function of our global events client, reporting to the Head of Marketing Operations.

The team's mission is to make the wider marketing team more productive, efficient and profitable.

You’ll lead some projects directly, such as event guides and creative prioritisation.

On others, such as registration, the event app and signage, you'll partner with specialist teams to keep work on schedule.

You'll work independently day to day, using your judgement to prioritise, flag risks early and agree solutions with stakeholders across a matrix structure.

What you will be doing

  • Coordinate the end-to-end production of event guides, including content collation, brand guideline compliance, print coordination and onsite distribution, working with marketing, content, sustainability and other teams.
  • Review design requests each week, agree priorities with marketing leadership and design leads, and keep projects on schedule.
  • Act as the main link between the marketing team, the wider event team and registration specialists.

Manage briefing timelines, registration forms and amendments, and final sign-off.

  • Support pre-show and onsite registration, including setup, payment system checks and hands‑on help at registration desks.
  • Keep marketing requirements on track for the Swapcard event app, from platform content and visual design to attendee permissions, in line with the digital operations team's timelines.
  • Support the marketing signage lead by clarifying requirements, structuring the work and tracking deadlines, so the lead can focus on creative direction and brand integrity.

Flag potential delays early.

  • Identify inefficiencies in day-to-day workflows, then work with stakeholders to design clear processes and RACI frameworks that have their support.
  • Introduce new processes through clear communication, answer team questions, gather feedback and make continuous improvements.
  • Facilitate the pharma marketing team's agile hub, keeping conversations productive, projects moving and processes regularly reviewed.
  • Act as a Monday. com and Miro super user, helping colleagues with queries and setting up new boards and workflows.
  • Support data quality for registration, including correct List of Values (LOV) taxonomy, accurate database mapping, event edition codes for new events and data cleansing with digital, brand, content and community teams.
  • Standardise reporting processes and templates with the marketing analytics team, and share best practice across marketing.
  • Help build a supportive team culture by organising team days and virtual gatherings, and by being a reliable point of support for colleagues with work challenges.

What you need to be great in this role

  • Strong project management and coordination skills, with a record of delivering on schedule across multiple workstreams and huge global events.
  • Excellent verbal and written communication.
  • Experience working across teams and balancing different stakeholder needs against business outcomes.
  • Experience developing and improving processes to streamline ways of working.
  • Close attention to detail and a well‑organised approach to planning.
  • A proactive approach: you anticipate needs, ask for clarity and take initiative.
  • Familiarity with project management tools such as Monday. com, or a willingness to learn.
  • Familiarity with event technology such as Visit registration and Swapcard, or a willingness to learn.
  • A collaborative, solutions‑focused approach to working with colleagues in different markets and functions.
  • Proficiency with Gen AI tools relevant to marketing operations to improve output quality and efficiency.
  • Experience building personal AI workflows to improve efficiency and quality.
  • An agentic approach to problem‑solving, breaking complex tasks into clear, manageable steps.
  • Ability to critically evaluate AI outputs and apply human judgement.

Our values shape everything we do

  • Imaginative to push the boundaries of what’s possible
  • Be always learningand listening to understand
  • Be actively pro-inclusive and anti-racist across our community, clients and creations

We use AI to support efficiency and consistency, not to replace human judgement.

Candidate evaluation and selection are conducted without AI-supported screening or decision-making.

We are committed to a fair, thoughtful, and equitable experience for every candidate.
