Job title– Asset Data Support Officer
Contract Type –-Full Time- Permanent- TFL
Overview of project/role
To support asset management function of the Head Office Estate by undertaking comprehensive asset verification, data capture, and condition surveys across multiple sites. The role is responsible for identifying, inspecting, recording, and assessing building assets, including their condition, age, lifecycle stage, compliance status, and replacement requirements. The post holder will maintain accurate and reliable asset information within the Computer Aided Facilities Management (CAFM) system, ensuring data supports lifecycle planning, statutory compliance, maintenance strategies, and capital investment decision-making. This is a field-based role requiring regular travel to all the Head Office Estate buildings.
Key Accountabilities
- Carry out asset and condition surveys to provide accurate, robust and timely data to support the development of long term asset strategies, policies,
- and capital investment plans.
- Apply condition grading and lifecycle assessment methodologies in line with industry standards to support our Property Care Programme.
- Support in reviewing and reconciling asset information from Operation and Maintenance manuals, drawings, schematics, and asset registers
- ensuring all records within the Computer Aided Facility Management system are accurate, current, and aligned with asset management
- requirements, supporting lifecycle planning, compliance obligations, and capital investment programmes.
- Support the asset handover process by carrying out site surveys, attending commissioning & witnessing, reviews of handover documentation and
- effective liaison with stakeholders.
- Support the implementation of asset data tagging, utilising the latest technologies to provide a swift, reliable process for identifying assets within
- Support in validating and assuring maintenance tasks raised by Service Providers outside the Inclusive Threshold Repair threshold, ensuring
- alignment with asset management objectives and contractual requirements.
Skills, Knowledge & Experience
Skills
- Strong problem-solving skills with the ability to apply technical knowledge to resolve practical issues
- Self-motivated with excellent attention to detail
- Demonstrable proficiency in Microsoft Excel, with the ability to manipulate, analyse, validate, and interpret large datasets.
- Clear and articulate communication skills, both written & verbal
- Ability to work autonomously with minimal supervision and good interpersonal skills to interact with various stakeholders
- Innovative and flexible approach to work
Knowledge
- An HNC (Higher National Certificate) and HND (Higher National Diploma) in Building Services Engineering, Electrical Engineering, Mechanical
- Engineering, or relevant work experience (Essential).
- Strong understanding of mechanical & electrical building systems as well as good understanding of asset data protocols – Essential
- A good understanding of Asset Management Principles and property related issues (Desirable)
- Knowledge of asset lifecycle principles and condition grading methodologies (Desirable).
- Working Knowledge of Facility Management System and data capture and mobile surveying software and applications (Desirable)
Experience
- Experience surveying commercial, public sector, healthcare, education, residential, or industrial buildings (Essential).
- Experience using Computer Aided Facility & Asset Management systems such as Maximo, Evolution or similar (Desirable).
- Experience of a wide range of property types covering a spectrum of ages and building services / functionalities (Desirable)
- Familiarity with SFG20, ISO 55000, RICS lifecycle standards, or equivalent asset frameworks (Desirable).
