We are looking for a full time receptionist for our Head Office in Ely, Cambridgeshire, to provide a first‑class reception service by acting as the company’s first point of contact, managing the front desk, greeting visitors, answering phone calls, handling mail, and providing administrative support.

Main duties and responsibilities:

  • Provide front‑of‑house reception service to visitors and callers – both in person and on the telephone, forwarding enquiries and taking messages in a prompt and accurate manner, arranging refreshments for visitors.
  • Maintain security and health & safety of visitors by issuing and logging access fobs, PPE, etc. When fire alarm sounds take visitor book out and pass this to QHSE department.
  • Manage the electronic sign‑in/out system process for visitors.
  • Make arrangements for outgoing mail, and open, sort, stamp and distribute incoming mail in a timely fashion.
  • Maintain a safe, clean and tidy reception area at all times.
  • Be the main point of contact for all day‑to‑day communication with Vail Williams, managing the fault book and maintenance only email / calendars to ensure faults are reported quickly for speedy resolution.
  • Carry out regular stock checks and ensure replenishment of stationery, stamps, kitchen sundries and other supplies.
  • Meeting room management – meeting preparation, taking room bookings, organising equipment and catering/refreshments, providing details to the Finance team for invoicing etc., as necessary.
  • General daily housekeeping of reception area, meeting rooms etc.

Qualifications:

  • Proven experience as a receptionist or in an administrative role.
  • Proficient in Microsoft Office, Google Workspace, and data entry.
  • Strong organizational skills with attention to detail.
  • Ability to multitask and prioritize tasks effectively.
  • Friendly demeanour with a professional attitude.
