The Team at OHanlon & Farrell Contracts Ltd have promoted the company as one of Northern Irelands long established Building Contractors with nearly 40 years of valuable experience within numerous sectors, including the Industrial, Commercial and Domestic Construction sectors, throughout Ireland and UK. We are recruiting an experienced Executive Assistant for a permanent position based in our Newry office, reporting directly to the Company Director.

Key Responsibilities:

  • Provide comprehensive administrative support to the Company Director, including calendar management, scheduling, and meeting coordination.
  • Act as a gatekeeper, managing communications and prioritising requests on behalf of the Director.
  • Prepare agendas, briefing documents, presentations, and reports for meetings and board sessions.
  • Take accurate minutes and track follow-up actions.
  • Draft, review, and manage correspondence, emails, and official communications.
  • Coordinate with senior leadership, clients, partners, and vendors as required.
  • Handle confidential and sensitive information with the highest level of discretion.
  • Maintain organised filing systems.
  • Arrange business travel, including itineraries, accommodations, and expenses.
  • Support recruitment and marketing activities.
  • Assist with H&S Coordination & ISO Fleet Management.
  • Any other tasks as considered necessary.

Requirements:

  • Candidates should have 3 years Executive Assistant experience.
  • Ability to work on own initiative.
  • Self-motivated and deadline driven.
  • Analytical and decision-making skills.
  • Proficient with MS Office, Excel, PowerPoint, etc.
  • Excellent written and oral presentation skills.
  • Valid Driving License.
