The Role
We’re looking for a highly organised, detail-oriented and proactive Buying Admin Assistant to join our fast-paced Buying team at Oh Polly and Bo+Tee. This is an exciting entry-level role, ideal for someone looking to kick-start their career in fashion buying and operations.
As Buying Admin Assistant, you will provide day-to-day administrative and organisational support to the Buying team, ensuring smooth coordination of samples, product data, internal processes, and communication with global partners. You'll also assist with broader office administration, supporting the wider HQ teams.
Key Responsibilities
- Buying Support
- Update range plans and fit rail boards across collections.
- Help upload lab dip approvals/rejections, organise lab dips and prints.
- Pull Pantones and assist with VCP checks.
- Chase samples, lab dips and reference items from suppliers and factories.
- Assist with eComm tagging and SKU creation.
- Support in prepping fit rails (especially for Bo+Tee collections).
- Track approvals and update range plans accordingly.
- Order product repeats, returns, and upload reports to Trello.
- Sample & Shipping Management
- Pack and send parcels to China, Bangladesh, LA, suppliers and warehouse.
- Maintain parcel sending tracker for all shipments.
- Organise sample rails by collection and box/archive older ranges.
- Order and return reference samples, and chase supplier refunds.
- Office & General Admin
- Tidy and maintain office spaces, including fit rooms and meeting areas.
- Flat-pack boxes and ensure proper recycling procedures.
- Assist with internal events and team engagement days.
- Help manage shared calendars (e.g. national holidays).
- Liaise with concierge for deliveries, key cards and maintenance needs.
- Order supplies via Amazon (e.g. fruit, milk, coffee).
- Upload receipts to Navan (expenses platform).
- Charge and manage meeting room tablets daily.
Skills & Requirements
- A strong interest in fashion and a desire to pursue a career in buying or merchandising.
- Highly organised with strong attention to detail and a methodical approach.
- Confident multitasker who thrives in a fast-paced, team-driven environment.
- Proactive, helpful and a strong communicator.
- Comfortable with Excel, Trello and Google Workspace (training provided).
- Willingness to take on a mix of office admin and creative tasks.
