We’re looking for a Resource & Capacity Planning Analyst to play a vital role in ensuring our Digital, Data and Security Services (DDSS) Directorate is fully resourced to deliver transformative digital projects and initiatives.

This is a full-time, permanent opportunity to join a collaborative, multi-disciplinary team where you will ensure we have the people and skills behind our digital transformation. Specifically, you’ll work closely with Team and Delivery Managers to make sure we can achieve our digital goals through effective personnel and resource management.

You’ll play a key part in moving our manual processes towards smarter, more automated systems, helping us to stay at the forefront of the energy sector and be able to deliver on our commitments to consumers and the country. Balancing changing priorities, you’ll work across our organisation with everyone from our digital teams to finance professionals and project management staff.

We’re looking for someone with strong analytical skills, experience in data automation and reporting, and resource capacity planning knowledge. You’ll know how to turn complex data into meaningful management information, use your initiative, communicate well with stakeholders, and bring ideas to help us improve.

Resource Strategy and Planning

  • Support Resource Management Framework: Assist in implementing and maintaining the DDSS Resource Demand and Utilisation Framework.
  • Administer Processes: Facilitate the end-to-end process, governance, and controls for DDSS Resource and Finance Management.
  • Recruitment Support: Aid in tracking and onboarding new starters, supporting DDSS recruitment activities.
  • Finance Management Support: Ensure budget alignment with resource spend through the DDSS resource and finance management process.
  • Super-User Admin: Act as the super-user admin for the DDSS Resource Utilisation & Capacity Planner, ensuring accurate entry of resource forecasts and maintaining the demand and supply pipeline. Regularly audit data for accuracy and provide guidance as needed.

Stakeholder Management

  • Request for Resources (RFR) Process: Manage the RFR process flow, ensuring approval workflows are established and maintaining an up-to-date board for visibility and audit purposes.
  • Support Resource Review Meetings: Document actions and ensure their completion during weekly resource requests and monthly resource and finance review meetings.
  • DDSS Org Charts, Teams Channel & Email Distribution List Maintenance: Maintain DDSS all-in-one and Pillar Org charts, DDSS All-Staff Teams channel, and DDSS All-Staff Email distribution lists.
  • DDaT Profession Support: Assist the Senior Resource & Demand Manager with administrative duties related to the DDaT profession’s structure, staff database, staff development (PDLs), training forecast, Teams channel, and email distribution lists.

Reporting

  • Data Analysis: Analyse resource utilisation data to identify trends and produce reports and charts for management decision-making.
  • KPI & SLA Tracking: Track Key Performance Indicators (KPIs) and Service Level Agreements (SLAs) for Operations, Performance, and Resource Management.
  • Utilisation Prediction: Automate and maintain a 12-month rolling resource utilisation and staffing prediction forecast.
  • Analytical Reports: Create analytical reports and PowerBI dashboards for planning and decision-making.
  • Utilisation Dashboards: Maintain the DDSS Resource and utilisation dashboards.
  • Self-Service Reporting: Implement and maintain self-service reporting mechanisms.

Capability Management

  • Process Improvement: Enhance resource & demand processes and governance.
  • Data Automation: Automate processes for efficient people data extraction and management.
  • Standardised Delivery: Ensure adherence to established processes for standardised Resource Management operations and service delivery across DDSS.
  • DDSS Learning & Development Support: Track and report compliance on Civil Service Learning and Ofgem mandatory training requirements.
  • Staff Onboarding Documentation and Processes: Produce onboarding documentation, guides, and virtual buddy assurance for new starters.

Key Outputs and Deliverables

  • Utilisation Prediction: Automate and maintain a 12-month rolling resource utilisation and staffing prediction forecasting view.
  • Utilisation Dashboards: Create DDSS resources, utilisation and spend dashboards.
  • Analytical Reports: Produce analytical reports and PowerBI dashboards for planning and decision-making.
  • Process Guides: Develop clear and concise resource management process guides and flowcharts.
  • Staff Onboarding Documentation and Processes: Produce new starter onboarding documentation, guides, and virtual buddy assurance.
  • Basic resource capacity planning knowledge (planning and MI dashboard reporting). (Lead criteria)
  • Strong analytical skills with accuracy and attention to detail. (Lead criteria)
  • Experience in handling confidential data, analysis and automation.
  • Experience using ERP software and PowerBI.
  • Ability to balance multiple priorities and solve problems efficiently.
