You’ll support the governance and reporting infrastructure that underpins our portfolio delivery, helping to ensure the right priorities are progressed at the right time and in the right way. You’ll work closely with stakeholders, support governance boards, and contribute to a growing culture of transparency, agility and improvement.

Key Responsibilities

Governance

  • Maintain governance frameworks and processes e.g. change logs, decisions log, escalation routes etc.
  • Support the administration and facilitation of governance boards, preparing board materials as well as minute-taking. Maintain board documentation and artefacts, such as forward looks and actions log.

Monitoring and Reporting:

  • Collaborate with risk owners to maintain the risk register and report risks to board meetings.
  • Support the portfolio lead with internal audits and related governance actions.
  • Maintain reports, dashboards, and data visualizations using tools like Excel and Power BI, to effectively inform decision making.

Communication

  • Be a point of contact for internal and external stakeholders, handling inquiries and requests promptly and professionally.
  • Contribute your ideas to improve governance frameworks and processes.

Administrative support

  • Provide day-to-day administrative support on tasks such as logging actions, monitoring shared mailboxes, maintaining accurate repositories and data records.
  • Carrying out delegated responsibilities to support the wider team.

Key Outputs and Deliverables

Governance – Support with the implementation and maintenance of governance and reporting frameworks/processes.

Monitoring and Reporting – Assist in maintaining governance controls and in producing portfolio reports.

Administration – Organise key meetings and provide secretariat support to governance boards.

Stakeholder Engagement – Facilitate communication between project teams and stakeholders. Prepare and distribute project status reports, meeting agendas, and minutes.

Person specification

  • Relevant experience with governance and/or reporting processes. (Lead criteria)
  • Proven ability in using digital tools to analyse data.
  • Excellent communication and organisational skills.
  • Experience of working under pressure, handling multiple tasks and prioritising your own workload.
  • Ability to manage stakeholders at different levels.
